Job Summary

Assists Maintenance Reliability Planners with developing, maintaining, and revising the preventive maintenance (PM) program. Provides administrative support to the Vertical Assets Maintenance Planning department. Works with various software including Infor Public Sector (CMMS), SAP for accounting, and multiple Microsoft products such as Outlook, Teams, Word and Excel. Provides reports to various internal customers as needed. Works with maintenance supervisors and planners to create weekly work schedules. Works with the purchasing department for procurement of materials, services, and invoice approvals.

Essential Job Functions

Reviews work order requests for accuracy and creates corrective work orders. Facilitates weekly meetings with supervisors and planners from multiple departments to create work schedules. Records maintenance data to improve job planning and best scheduling of workforce for performing work tasks. Requisitions parts, materials, equipment, and contract services prior to scheduling planned work. Assists Maintenance Reliability Planners with developing, maintaining, and revising the preventive maintenance (PM) program, including development of activity codes, planned tasks, and maintenance schedules through CMMS software. Assists Maintenance Reliability Planner with developing and maintaining libraries including, but not limited to, bills of material, job plans, prints/record drawings, O&M manuals, and SOPs for all assets. Tracks and physically receives procured materials, supplies, tools, and equipment for respective departments. Provides support with budget usage and tracking, invoice reconciliation and approvals, and vendor disputes. Assists Maintenance Reliability Planners, department supervisors and managers with procurement duties including, but not limited to, getting quotes, creating purchase requisitions, change orders, processing Procurement Review Team documents, and invoice reviews/approvals. May work occasional off shift hours to help with emergency or weather-related events. Performs other duties as assigned.

Knowledge, Skills and Abilities Necessary to the Work

Knowledge of Infor Public Sector (CMMS), Workforce, SAP/S4 HANA, and eB/ALIM; knowledge of MSD policies and procedures; knowledge of administrative techniques and practices; knowledge of basic office equipment; skill in oral and written communication; skill in problem solving; skill in operating a PC and associated Windows environment software (e.g. Microsoft Office Suite, etc.); ability to analyze data; ability to make sound decisions based on available information; ability to create detailed reports; ability to be courteous and helpful under pressure; ability to maintain confidentiality; ability to work effectively under heavy, unpredictable surges in workload; ability to maintain work projects using CMMS; ability to schedule an effective preventive and corrective maintenance program using CMMS; ability to research and procure maintenance parts; ability to manage multiple priorities; ability to organize work effectively; ability to maintain accurate records; ability to work 24 hour emergency response, various shifts and weekends.

Minimum Requirements

Associate degree in business administration, or a related field; four or more years of related experience in maintenance, maintenance planning or other similar industrial environments preferred; an equivalent combination of education and experience may be substituted. Must have a valid driver’s license. Must have safe work and driving habits.
