Louisville Title Agency is seeking a highly organized and detail-oriented Client Experience Coordinator to join our team. As the first point of contact for our office, you will be responsible for answering calls, welcoming visitors, maintaining the reception area, and supporting the team with various administrative duties. This role is crucial in ensuring smooth daily operations and exceptional client service.
Responsibilities:
Front Desk & Client Interaction
- Maintain and oversee the reception area, ensuring a professional and welcoming environment
- Greet and assist clients and visitors, ensuring they are promptly attended to or updated every 15 minutes in case of delay
- Escort clients to closing rooms and obtain copies of all signing clients’ driver’s licenses
- Ensure visitor areas, including the lobby and closing rooms, are clean and stocked with refreshments
Phone & Communication
- Operate and manage the business phone line
- Be the first to answer incoming calls, triage caller needs, and route calls to the appropriate party, announcing callers before transferring
- Provide general information to potential clients and callers regarding the escrow process
Administrative Support
- Print and distribute the daily closing calendar for teams
- Assist with data entry, typing, filing, scanning, photocopying, meeting preparation, catering, and other office support tasks
- Keep office equipment stocked with paper, toner, ink, and other supplies; place orders as needed
- Print and assemble closing packages for real estate transactions
- Conduct post-closing distribution of final mortgage, deed, and other documents after recordings are returned
Qualifications:
- Previous experience in an office, receptionist, or customer service role preferred
- Strong communication and interpersonal skills with a professional demeanor
- Excellent organizational skills and attention to detail
- Ability to multitask and work efficiently in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment
- Experience in real estate, title, or legal offices is a plus but not required—training provided
- Certified Notary Public is a plus!
