Job Summary
The Operations Assistant helps to ensure the efficiency of LUL operations by providing clerical support, including data entry and typing, photocopying and collating, answering and directing phone calls, and general front desk duties.
Duties and Responsibilities
- Perform clerical and administrative tasks such as copying, filing, creating spreadsheets, and document preparation.
- Sort and distribute incoming mail and faxes.
- Make and receive phone calls in a professional and courteous manner.
- Greet clients and visitors, answer questions, and provide information with a positive and friendly attitude.
- Assist with updating staff/department phone directory and distribute accordingly.
- Help keep the receptionist area and lobby area organized.
- Participate and assist in Operations projects.
- Provide excellent customer service.
- Other duties as assigned.

Knowledge, Skills and Abilities
To be successful, the individual should at a minimum have previous experience in or possess the following:
Strong organizational skills and an ability to multitask.
- Positive, professional attitude demonstrating efficiency and politeness.
- Dependable and willing to help.
- Must be available evenings and weekends for programs and agency-related activities.
- Ability to work under duress (remain calm and focused).
- Ability to provide an overview of agency services and give clear instructions.
- Previous experience operating a multi-line telephone system or possess the ability to master operation in a short period of time.
- Computer skills or the ability to learn them quickly.
- Semi-professional dress and manner.
- Excellent phone etiquette and customer service skills.
- Willing to undergo a background check in accordance with local laws/regulations.
- A valid driver’s license and reliable transportation is required.
Minimum Education and/or Experience
High school graduate or GED equivalent.
- One year of administrative/clerical experience.
