GENERAL RESPONSIBILITIES:
- Assist with management of litigation and adversarial matters and perform full range of legal and administrative support activities for members of the Legal Department’s Litigation Team
- Provide legal and administrative support to the company’s attorneys and other legal professionals during all phases of adversarial and litigation matters
- Conduct legal and general research and prepare memorandum under direction of attorney
- Timely receive, acknowledge, and distribute documents served upon the Company via CT Corporation or otherwise
- Draft correspondence, reports and other materials for use by legal team members and others, including but not limited to engagement letters, presentations, audit reports, affidavits, legal hold reports, and reports analyzing data from departmental systems
- Draft, edit and proofread correspondence, pleadings, agreements and other documents with high degree of accuracy
- Timely and accurately docket various litigation and other internal deadlines
- Lead efforts in drafting legal holds for attorney review; issue and track all legal holds, updates, reminders, and releases in accordance with department processes and procedures
- Assist in timely responding to employee termination/transfer inquiries as they relate to legal holds, and lead chain of custody process relating to same
- Track and facilitate the receipt, retention, and release of hard drives and other devices on legal hold in accordance with department processes and procedures and coordinate with other departments as required
- Train employees on the importance of legal holds and other litigation-related topics as directed by attorney; work with the Training Department to audit participation in legal hold LMS module and modify module as necessary
- Assist in drafting and administering processes and procedures associated with litigation, legal holds, e-discovery, etc.
- Assist with fact investigations and discovery efforts including conducting witness interviews and collecting, organizing, reviewing and producing documents under direction of attorney
- Identify potentially privileged and confidential information in company documents and prepare privileged log for review, approval and use by attorneys
- Help with department efforts in responding to subpoenas, including collecting documents, drafting and securing affidavits, organizing and labeling documents, preparing written responses, and coordinating with outside counsel, as necessary
- Act as a primary liaison between the Legal Department and IT in connection with all aspects of legal holds, document collection, preservation, and production efforts
- Assist attorneys and outside counsel in preparing for hearings, depositions, mediations, and trials
- Assist as needed in administering the department’s e-billing and matter management system
- Meet regularly with department legal operations professionals and attorneys to keep advised of functionality or issues associated with litigation and other departmental systems used within the department
- Place boxes and files on legal hold (and release the same) within Warehouse Archive System or other systems as directed by attorney
- Assist with review of class action notices sent to the Company
- Assist in the preparation and internal distribution of monthly legal reports
- Perform general clerical duties in an administrative support role for in-house attorneys
- Uphold the highest standards of confidentiality and discretion as to departmental and company dealings, information, projects and issues
- Other duties as assigned
- Education: HS Diploma or equivalent required.
- Experience: Certification as paralegal or legal assistant (or equivalent on the job experience); minimum of 3 years litigation experience in a law firm or corporate legal department; prior experience using an eDiscovery review tool preferred; prior experience drafting and issuing legal hold notices and administering same strongly preferred; experience using an electronic billing and matter management solution preferred; Public Notary designation (or willingness to pursue, if requested).
- Skills: Proficient in Microsoft Office, ability to learn new software applications and programs, ability to type efficiently and accurately and to transcribe from voice messages or handwritten drafts and notes, ability to communicate effectively (orally and in writing) with diverse individuals and to consistently act in a professional and respectful manner, comfort handling multiple responsibilities simultaneously with multiple interruptions and shifting priorities throughout the workday while still meeting deadlines, excellent memory and organizational ability, and sufficient arithmetic skills to perform routine accounting and mathematical computations.
- Typical Physical Demands:
- Requires prolonged stationary positions, and some positioning of self to access under desk storage or low filing drawers.
- Occasional moving of equipment and/or files up to 50 pounds.
- Constant operation of office equipment i.e. computer keyboard, copy machine, printer, and calculator.
- Ability to perceive sound at normal speaking levels with or without correction, and visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
- Occasional evening/or weekend work.
- Possible infrequent overnight travel.
- Requires a valid Oklahoma Driver’s License, vehicle insurance and access to transportation.
