BASIC PURPOSE : Provide administrative and clerical support to the Legal Department by assisting with tasks related to contract management, regulatory compliance, corporate governance, legal billing, office organization; also communicate with internal and external stakeholders, coordinate project resources, and ensure the smooth operation of the legal department.

MAJOR RESPONSIBILITIES :

  • Provide administrative support to the legal team, including scheduling meetings, managing calendars, tracking deadlines, and coordinating travel arrangements.
  • Prepare, review, and organize legal documents, contracts, reports, presentations, and correspondence.
  • Organize and maintain files, records and documentation, both electronic and physical, to ensure timely updates and accessibility.
  • Assist with basic financial tasks, like tracking expenses and processing invoices.
  • Prepare, file, and track deadlines for corporate filings, reports, and applications.
  • Coordinate execution of documents and notarization, as needed.
  • Conduct basic electronic research and gather information, as needed.
  • Liaise with internal departments and external parties, such as clients, vendors, and regulatory agencies.
  • Handle confidential and sensitive information with discretion.
  • Assist legal and licensing team members in the development of project management documents such as project schedules, meeting agendas, project plans, and reports.
  • Assist with special projects and other duties as assigned by members of the Legal Services Department.
  • EDUCATION AND EXPERIENCE :

  • Education :
  • Associate’s degree required; bachelor’s degree preferred.

  • Experience :
  • Minimum of two years’ experience as an assistant in a law firm or corporate legal department required.

  • Public Notary designation (or willingness to pursue this, if requested by Love’s)

  • Exceptional organizational skills to manage multiple tasks, projects, and deadlines simultaneously, ensuring everything progresses smoothly and efficiently.

  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and ability to learn new software and programs.
  • Ability to work independently and as part of a team.
  • Attention to detail and a high level of accuracy, despite multiple interruptions.
  • Proactive, adaptable, and capable of handling sensitive information with confidentiality and professionalism.
  • Familiarity with legal terminology and procedures.
  • Typical Physical Demands :
  • Requires prolonged stationary positions and some position of self to access under desk storage or low filing drawers

  • Occasional moving of equipment and / or supplies up to 25 pounds.
  • Continuous operation of office equipment, e.g. computer keyboard, copy machine, printer, and calculator
  • Ability to perceive sound at normal speaking levels with or without correction, and visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
  • Occasional evening or weekend work.
  • Requires a valid Oklahoma driver’s license (or the ability to obtain) and access to transportation.
  • To the extent personal vehicle is used for department errands, vehicle must comply with all state requirements (e.g., compulsory insurance coverage, registration, etc.).
