What are the responsibilities and job description for the Accounting Assistant position at Lovibond?
The Accounting Assistant is an integral part of the Lovibond office staff and acts as a support role for the Accounting Department by performing clerical and administrative tasks related to financial recordkeeping, reporting, and management. The Accounting Assistant performs a variety of tasks such as assisting customers, vendors, and the department with daily operations. Ultimately, a successful Accounting Assistant will ensure that the company’s daily accounting entries are recorded accurately, effectively and timely.
Duties/Responsibilities:
- Provide accounting and clerical support to the Accounting Department, to include accounts payable and accounts receivable.
Accounts Payable:
- Enter AP Invoices to ERP system for payment purposes.
- Verify accuracy of invoices, audit all corresponding attachments and ensure payments are charged to the appropriate accounts
- Enter invoices for payment to ensure timely payment and submit for approval.
- Respond to and address vendor inquiries.
Accounts Receivable:
- Assist in the collection and recording of customer payments for goods sold, services rendered and prepayments.
- Assist in the processing of customer payments.
- Assist in processing and issuing credit memos.
- Invoicing:
- Assist in the preparation of customer invoices.
- Respond to customer requests for Invoice copies and additional documents.
Maintain data on the company's accounting software:
- Create Customer Accounts and update customer databases as needed (ERP, CRM, Tax).
- Filing and organizing financial documents.
- Monitor the accounting department inbox and follow ups as needed.
- Assist in the processing of monthly expense reports in expense platform.
- Receive and prepare Credit Applications and over the credit limit requests for processing by the Accounting Clerk.
- Respond to internal department requests for information as they relate to AP/AR for purposes of Bank Reconciliation
- Ensure compliance with GAAP principles, statutory requirements and company policy.
- Maintain knowledge of acceptable accounting practices and procedures.
- Ensure that all other departments comply with internal policies and external regulations.
- Maintain accurate and up-to-date filing systems
- Ensure accuracy and effectiveness in all accounting tasks.
- Suggest ways to improve efficiency and spending.
- Continuously analyzes work processes and makes suggestions for improvement.
- Provide support for the department, perform general accounting functions and other related duties as necessary or assigned.

Education, Experience, and/or Certifications:
- High School graduate or equivalent required, AA or AS Degree preferred.
- Minimum 2 years of experience in general accounting.
- Minimum 2 years of diversified administrative experience.
