We are seeking a highly organized and motivated Administrative Assistant to join our team and support the daily operations of our Christian childcare program.
Job Summary: The Administrative Assistant will play a crucial role in the smooth functioning of our childcare program by providing administrative support, maintaining accurate records, handling communication with parents, and ensuring compliance with regulatory requirements. This position requires strong organizational skills, attention to detail, and excellent interpersonal abilities, along with a commitment to Christian values.
Key Responsibilities:
- Assist the childcare program director and staff with daily administrative tasks.
- Maintain accurate records of children's attendance, medical records, and other important documents.
- Handle communication with parents, including sending picture/videos updating parent's on their child's progress, and addressing inquiries.
- Coordinate schedules for staff and organize activities and events.
- Order and maintain supplies and materials needed for the program.
- Ensure the program meets all local, state, and federal regulations.
- Assist with training new staff and provide ongoing support.
- Ensure student/teacher ratios and fill-in when necessary.
- Oversee transportation of after-school children from local school within walking distance.
- Act as the first point of contact for parents, visitors and staff, providing excellent customer service.
- Prepare reports and documents for internal use and regulatory bodies.
- Plan and organize special events, meetings, and activities.
- Promote a positive, Christ-centered environment and support the spiritual growth of children and staff.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as an administrative assistant or in a similar role, preferably in a childcare or educational setting.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to handle sensitive and confidential information with discretion.
- Friendly and professional demeanor with a commitment to providing excellent customer service.
- Provide support in organizing meetings and taking meeting minutes
- Support staff with general operational tasks
- Experience in customer service is a plus
- Ability to transcribe information accurately
- Knowledge of childcare regulations and compliance requirements is preferred.
- A strong commitment to Christian values and the mission of Loving Childcare.
- Active participation in a Christian community and a personal relationship with Jesus Christ is highly desirable.
- Bilingual - English & Spanish is highly desirable.
Job Types: Full-time, Contract
Pay: $19.75 - $28.00 per hour
