As an Office Manager, you'll help advance our mission in two primary ways : administrative support & problem solving, and care scheduling.
The Office Manager will support the Care Management team through the following administrative responsibilities :

WHAT YOU'LL GET TO DO :
Human Resources
Preparing documentation for employee performance counselingPreparing evaluations to support the employee performance review processTracking and celebrating employee successFollowing-up on employee development goals and improvement plansOnboarding Newly Hired EmployeesReviewing and maintaining "audit ready" employee certifications and records (CPR license, home care aide registration, training due dates, etc)Investigating & researching employee performance employee performancePlanning and delivering employee engagement projectsFinance
Reviewing and problem solving employee timesheet errors quicklyMonitoring employee clock in / outs for errors, and ensuring wage and hour accuracy and compliancePreparing and processing payrollFollow-up on collecting invoice paymentsCare
Build trust and personal relationships with seniors and their familiesGetting to know all employees and clients so as to knowledgably address their needs and concernsAnswer phone calls & text messages from employees and clientsProvide back-up scheduling assistance to Care Coordinators, ensuring that caregivers are staffed to work with all client shiftsOn-Call :It is expected that this employee will receive additional compensation to provide "on-call" support by answering phones as needed outside of normal office hours and resolving the reason for the callThis would be for one weeknight per week, and alternating Sundays (24 hour period)Schedule caregivers with clients according to client schedule, care needs, and personality to meet or exceed client expectationsReceive inbound phone calls from caregivers and clients and to troubleshoot their needsBe the face of the company's mission and core values by participating in hiring, onboarding, and training new staffMaintaining organized and "audit-ready" employee filesBuild trust and personal relationships with seniors and their families (mostly over the phone, but also when making special check-in visits)Build loyalty and trust with Home Care Aides and Care Management staff by communicating care delivery needs, concerns, and successes between both teamsBe a careful detective to look for gaps in the care plan instructions for caregivers, and the changing needs of clientsParticipate in company operations and strategy leadership meetings, providing a voice to help shape growth and improvement of the organizationAn opportunity to grow into a career in care managementJOB REQUIREMENTS
Administrative Experience : confident using various online software, Microsoft Office Suite, Google WorkspaceComfort with working in fast-paced, multi-task filled environmentTo deliver warm, engaging, and memorable over-the phone experiences to employees and customersFamiliarity with senior care (either professionally, or even personally with loved ones and relatives)Ability to participate in On-Call Rotation (1 weekday evening,A compassionate heart and interest in working to serve the elderlyDesire to work for a mission-oriented companyPass California Livescan Background Check and TB Test ScreeningEligible to work in the USBilingual Spanish Preferred, but not required)Job Types : Full-time
Salary : $26.00-$32.00 / hr per hour
Schedule :
Day shift (8 : 30a-5 : 30p) 5 days per week, plusOne Weekday Evening On-Call Shift per WeekOn Call Sunday (8a Sun to 8a Mon) every other weekExperience :
Fast-paced reception / administrative experience (2 years)Experience with senior care or healthcare industry preferredWork Location : In Person (Whittier, CA)
