What You Will Do :

The Administrative Coordinator will provide administrative / offices services support to the Palo Alto office and assist with day-to-day operations of the office. Work hours may be varied and may include overtime.

Essential Job Requirements :

Administrative Responsibilities

  • Back-up the Office Administrator as needed and coordinate the operations of the office in the Office Administrator's absence.
  • Work closely with the Office Administrator in the planning and execution of office-related initiatives and events involving staff and attorneys, both on / off-site.
  • Interpret and implement local level policies and procedures.
  • Assist with new hire orientation, as needed.
  • Review and update front desk procedures as needed.
  • Coordinate and conduct routine team meetings to review the upcoming conference room schedule, forward reminders and follow-up as needed.
  • Assist with executing building, firm and / or office policies and procedures.
  • Maintain rapport with vendors and clients by arranging continuing contacts; researching and developing new services and methods; setting priorities; and resolving problem situations.
  • Assist with managing the security badge system for the entire office, including on-boarding and off-boarding of new employees as required. Monitor security system for door or access alarms, troubleshoot as needed.

Offices Services / Facilities

  • Working with the Office Administrator to assign offices and desk space to new employees.
  • Coordinate office facilities and office supply inventory.
  • Arrange for office space repairs and maintenance, such as painting, carpet cleaning, furniture repair, etc.
  • Coordinate in-house office moves and lateral attorney offices moves.
  • Work with building management on day-to-day facilities issues, such as building security, cleaning and maintenance, HVAC, emergency preparedness and general tenant issues.
  • Assist with emergency planning and training coordination; ensure emergency kits and AED equipment are properly maintained.
  • Skills, Knowledge and Abilities :

  • High School Diploma or equivalent.
  • 2 years administrative and / or coordinator experience; multi-office law firm or professional service setting.
  • Highly professional with a strong customer service orientation, commitment to meeting deadlines and ability to multi-task in a fast-paced and dynamic environment.
  • Must possess excellent communication skills and be able to communicate effectively at all levels of the firm's structure.
  • Must be able to maintain professional relationships with all levels of firm personnel.
  • Solid working knowledge of the Microsoft Office Suite.
  • Must maintain confidentiality and exercise good judgment.
  • Must have strong business understanding, leadership, organizational and analytical ability.
  • Ability to provide excellent client service by maintaining a positive and professional attitude and cooperative relationships with staff, peers, and administrators, as well as when interacting via phone or in person with the firm's clients and external contacts.
  • Ability to work remotely and ensure that tasks are completed timely and efficiently; maintains regular communication with staff, attorneys and supervisor / manager while working remotely. Ability to follow firm policies and procedures while working remotely.
  • Must be familiar with and adhere to all firm policies and procedures.
  • Must maintain the confidentiality of all firm-related matters.
  • Demonstrates initiative to learn new skills that will enhance performance of role.
  • Embrace change and adapts well in new environments.
  • Able to work overtime when necessary.
  • Must have a professional demeanor and appearance.
  • All other duties as assigned.
  • Office Location : Palo Alto, California

    Schedule : Full-time, Monday - Friday (Hybrid)

    Amount of Travel Required : Occasional travel to other LS offices, as needed.

    For candidates meeting the requirements, the expected base salary is $60,000 to $70,000. The range provided is the salary that Lowenstein Sandler in good faith believes at the time of this posting that it is willing to pay for the advertised position. Exact compensation will be determined based on individual candidate qualifications and location. Our benefits package includes coverage options for medical, dental, vision, prescription drug, life insurance, disability, FSAs, 401K, and paid time off.
