Position Description : The Development Operations Associate will support the Museum’s fundraising needs through data entry, reporting, gift processing, prospect research, and administrative support. Reporting to the Vice President of Development, Individual Giving, this person will work closely with the Museum’s five-person Development team to support fundraising from a variety of sources, both individual and institutional. The role will coordinate the daily operations of this fast-paced team including data entry, gift processing and acknowledgements, monthly membership renewals, and monthly financial reconciliation. The role will work with the Development team, Director of Digital Projects, a Database Consultant, Cross Departmental Systems Team, and the Finance Department, to ensure data integrity and accurate reporting and analysis of development data as well as generate reports and mailing lists for appeals, invitations, and other email communications. Other duties will include : scheduling and management of regular departmental meetings; scheduling donor tours and meetings; completing prospect research and wealth screens; maintaining departmental files and subscriptions; helping track departmental expenses; and supporting donor cultivation and stewardship efforts including assistance with events, outreach, and appeals.
Job Responsibilities :
Data Quality and Integrity
- Responsible for all development data entry into SalesForce including all donations, membership payments, and pledges
- Work with development leadership to ensure accuracy of fundraising dashboards, reports, and mailing lists
- Routinely monitor, clean, and maintain development data to eliminate duplicate, inconsistent, or outdated records
- Update policies, procedures, and user guides as necessary to ensure data integrity and consistency
Gift Processing, Reporting, and Lists
Merge and send donor acknowledgment letters on a weekly basisSupport daily membership operations such as processing membership payments and helping coordinate monthly membership renewalsGenerate weekly, monthly, and simple ad hoc reports for fundraising, financial analysis, and organizational leadershipWork with Director of Digital Projects to create new reports and dashboards as necessaryWork with development leadership and finance team to complete monthly financial reconciliationProspect Research and Administrative Support
Provide donor and member support such as reserving tickets in Ticketure, processing payments, and updating contact informationResearch prospective funders (individuals, foundations, and corporations) online and in fundraising databases. Create comprehensive prospect profiles to share this information with the Development team and museum leadership.Respond to inquiries through the development Departments donation email inbox and route inquiries to appropriate staff membersAssist with preparation of correspondence, reports and proposals, meeting materials and special mailings (including mail merges)Maintain digital department filesProvide periodic support for onsite and virtual eventsWillingness to support the public tour program including observing tours and having the opportunity to learn and lead tours as neededReports To : Vice President of Individual Giving
Qualifications
Demonstrated interest in the Museum’s mission and the im / migration history of New YorkAt least two years of administrative experience (fundraising experience strongly preferred)One to two years-experience with CRMs such as Salesforce, strongly preferredProficiency in Microsoft Office Suite and familiarity with video conferencing softwareExcellent organizational, administrative, research, time management, and communication skillsAbility to manage and prioritize multiple deadlines in a fast-paced environment and maintain a strong attention to detailAbility to synthesize prospect research into succinct reports for Museum leadershipAbility to work independently on projects and collaborate with a teamMust have a professional communication skills and dedication to excellent customer serviceBenefits :
