A. OVERALL OBJECTIVE OF JOB:
The Township Part-Time Facilities & Assets Coordinator is responsible for overseeing key administrative functions, including the management of the Township's general liability insurance, asset and fleet tracking, maintenance of Township facilities, centralized purchasing, and wireless account administration. This role also involves managing the Township's fleet lease and purchase programs; by streamlining processes and centralizing these functions, the position aims to maximize cost efficiency and improve overall effectiveness.
Key Responsibilities:
1. Asset tracking:
o Track assets, vehicles, and other Township properties; maintain asset lists, manage additions, deletions, and re-evaluations.
2. General Liability Insurance Management:
o Perform duties related to renewal and ongoing administration of Township and Authority casualty and liability insurance policies.
o Oversee the filing and tracking of insurance claims.
o Communicate ad hoc policy changes and coordinate annual and ad hoc insurance card needs
3. Facility Maintenance:
o Perform light maintenance tasks and track larger facility maintenance projects across all Township properties.
o Maintain Building Maintenance repair log and coordinate necessary repairs and maintenance.
o Oversee third party cleaning service.
o Coordinate primary and general voting days at Municipal Center.
4. Capital Budgeting:
o Assist in the annual budgeting process for capital assets and projects.
5. Fleet Management:
o Administer the Township’s fleet lease and purchase programs, ensuring efficient operation and cost-effectiveness.
o Coordinate documents for purchases, leases, and sales.
6. Centralized Purchasing:
o Manage a centralized purchasing program to drive cost savings, improve bidding processes, and enhance contract and pricing negotiations.
7. Wireless Account Administration:
o Assist the Township’s Information Technology Manager in overseeing the management of Township wireless accounts, including mobile phones, tablets, and other data devices.
Additional Responsibilities:
1. Perform other duties as assigned, contributing to the smooth operation of the Township.
Supervision:
1. Received: Reports to the Township Manager or designated authority.
2. Given: May supervise or coordinate with department staff or contractors.
Working Conditions:
1. Primarily office-based with adequate lighting, ventilation, and temperature control, although outdoor work is occasionally required.
2. Subject to fluctuating temperatures, weather conditions, and periodic exposure to noise and indoor dust.
3. Flexible schedule, including evenings, weekends, and holidays as necessary.
Physical/Mental Requirements:
1. Physical:
o Ability to sit for extended periods with occasional standing, walking, bending, and lifting up to 35 pounds.
o Requires dexterity for typing, computer work, and occasional physical tasks such as carrying, reaching, and pushing.
2. Mental:
o Ability to focus on detailed tasks and manage multiple priorities.
o Must be able to handle the stress of the role and remain attentive to work.

Qualifications:
1. Education & Training:
o Bachelor's degree in a relevant field (e.g., Business, Facilities Management, Recreation, Sports Management, Claims Management).
o CPR and First Aid certification required (may be obtained post-employment).
o Certification in park and recreation management is a plus.
o A valid driver’s license is required.
2. Experience:
o Minimum of two years’ experience in managing facilities, or claims, or a combination of education and work experience.
3. Knowledge, Skills, and Abilities:
o Proficient in both oral and written communication with the ability to explain procedures and handle inquiries.
o Strong interpersonal skills and the ability to collaborate effectively with residents, co-workers, and other stakeholders.
o Knowledge of recreation programming, personnel administration, and emergency medical procedures.
o Familiarity with modern office procedures, data processing, and various software applications.
o Ability to interpret complex regulations and apply good judgment.
o Proven ability to maintain confidentiality, especially concerning sensitive information.
o Competence in operating office equipment, including computers, mobile devices, and radios.
Job Type: Part-time
Pay: $22.00 - $23.00 per hour
