Position Title: Lower School Receptionist / Registrar / Administrative Assistant

Reports to: Head of Lower School
Months: 10 ½ Months (August 1st – June 15th)
Schedule: Monday – Friday, 7:30AM to 4:00PM
FLSA: Non-Exempt

Essential Responsibilities include:
- General day-to-day management of front office
- Greet visitors/faculty/students/parents
- Ensure visitors/parents sign in and wear visitor badge
- Answer incoming phone lines, transfer calls to voice mail, and deliver messages to students as needed
- Use computer software to compile, monitor and maintain daily student attendance throughout the school day
- Collect homework assignments for student absences via student advisor
- Update message board system daily with photos, student/faculty birthdays and other pertinent MS information
- Act as point person for Parents’ Association events, activities and initiatives
- Provide administrative support to Lower School Director of Studies, Early Childhood Director, and Director of Educational Resource Programs
- Provide occasional administrative support to Head of Lower School
- Assist LS faculty with administrative items as approved by LS Head
- Coordinate monthly fire drills from September thru May; timing coordinated with LS Head and Administrative Assistant to LS Head
- Maintain office machinery and coordinate service when needed
- Update mailbox and classroom names each school year or as needed
- Other computer tasks as necessary
- Put away mail daily
Registrar Duties
- Maintain student files for grades JK-4th Grade
- Prepare student transcripts upon request
- Post ERB scores in each students’ file
- Compile data from student files when requested
- File Report Cards and Transcripts
- Remove unnecessary paperwork from 4th grade files for Middle School
- Compile all information for outgoing school applications. Keep detailed records of all applications/recommendations mailed
Education, Experience & Skills Desired:
- Excellent verbal and written communication skills
- Proficiency in Microsoft Outlook, Word, Excel, Publisher, Google Drive and PowerPoint
- Willingness to learn new/additional software programs as needed
