The Clinic Manager (CM) is responsible for the oversight of the administration and operations of a medical disability examination (MDE) clinic. The CM is responsible for cultivating an environment that achieves the organization’s mission through quality in care, efficiency, and a focus on core values. The CM manages the overall direction, coordination, implementation, execution, and completion of contractual requirements with the end goal of delivering quality the best experiences for the Veterans, staff, examiners, and communities served. The CM reports to their Area Manager (AM).
Pay: $80,000-$110,000 a year
DUTIES AND FUNCTIONS
Operational Responsibilities:
- Oversees daily clinic operations, including coordinating and planning work assignments of all clinic staff
- Determines the frequency at which a task is performed and/or how much time is spent performing a task
- Collaborates with cross-functional teams to ensure excellent quality, timeliness, and customer service throughout the entire Veteran experience
- Maintains current calibration and sound level meter records of all equipment and the environment
- Orders stock and supplies for the clinic
- Manages the clinic's budget, office supply, and medical inventory
- Ensures clinic supply and medical inventory is unexpired
- Consistently audits the clinic to satisfy established operational and safety standards (e.g., expired supplies, annual fire inspections, refrigerator temperatures, sharp medical equipment disposal, equipment calibration, etc.)
- Reviews and analyzes clinic metrics to ensure client expectations are met and company goals are accomplished (e.g., weekly, monthly, quarterly, annually)
- Executes additional relevant clinical or administrative duties as needed
Staffing Responsibilities:
- Performs the hiring, onboarding, training, and performance evaluations of clinic staff members
- Conducts periodic training with staff and implements all policies, procedures, goals, and objectives
- Provides education and training on standard operating procedures, policies, medical equipment, and medical emergencies
- Mentors employees on professional growth and development opportunities in skills, knowledge, and empowerment
- Completes one-on-one meetings on a weekly, bi-weekly, and quarterly basis with all staff on performance metrics and documents these results on performance reviews
- Approves daily employee timekeeping
Additional Responsibilities:
- Informs medical professionals about updates to MDE requirements
- Ensures on-site provider satisfaction through engagement and retention efforts
- Ensures compliance with the Health Insurance Portability and Accountability Act (HIPAA), the American with Disabilities Act (ADA), and other pertinent privacy regulations
EDUCATION AND EXPERIENCE REQUIREMENTS
- Bachelor’s degree from an accredited college in a healthcare related field or equivalent experience/combined education
- Three or more (3 ) years of supervisory, leadership or management experience
- Cardiopulmonary Resuscitation (CPR) Certification
- Successfully pass a National Agency Check with Inquiries (NACI) background investigation
EDUCATION AND EXPERIENCE PREFERENCES
- Master's degree in a related field
- Four or more (4 ) years of supervisory, leadership, or management experience, preferably in a general or internal medicine or occupational health work environment
- Certified Medical Assistant (CMA) Certification
- Experience in clinic operations
- Experience in managing a healthcare clinic or facility
KNOWLEDGE/SKILLS/ABILITIES (KSA)
Knowledge:
- Understanding of medical terminology
- Knowledge of procuring supplies, equipment, and staff needed in a clinic
- Competency with computer-based healthcare administration systems
Skills:
- Proficiency in Microsoft Office
- Proficiency in managing budgets and negotiating with suppliers and vendors
- Exceptional interpersonal skills for interacting with Veterans, healthcare providers, and the public
- Exceptional organizational skills
- Exceptional written and verbal communication skills
- Possess and demonstrate skills necessary to analyze data and information
- Demonstrate a high standard of business ethics and integrity
Abilities:
- Ability to supervise and motivate clinic staff to perform their duties efficiently
- Ability to learn and understand new proprietary software applications
SUPERVISORY RESPONSIBILITIES
CMs are responsible for hiring, onboarding, training, mentoring, timekeeping, and evaluating the performance of all clinic staff members. CMs supervise clinics, clinic staff, and the overall operations of all clinic-related assignments and goals. CMs oversee daily operations, including coordinating and planning work assignments for all clinic staff.
KEY COLLABORATORS
CMs regularly collaborate with AMs, clinic staff, medical examiners, examiner trainers, and VA MDE personnel.
PHYSICAL DEMAND
The CM is frequently required to walk; use hands to finger, handle, or feel; and reach forward with hands and arms. The CM is occasionally required to sit and stoop, kneel, or crouch. The CM must frequently lift and/or move up to 20 pounds and occasionally lift or move 50 pounds. The CM may be required to transfer and/or treat those who are wheelchair bound.
