What are the responsibilities and job description for the Academic Records Analyst position at Loyola Marymount University?
Serve as Registrar information representative and provide timely and accurate data to faculty, administrators, staff, and students so as to establish and maintain legal, permanent student records for effectively tracking student academic progress.
Position Specific Responsibilities / Accountabilities
1. Support the Banner Student Information System both within the Office of the Registrar and for the LMU academic community.
2. Create and maintain reports requiring complex queries, including the creation of views with SQL, scripts and the export of data into accessible report formats for university community.
3. Provide back up support for major roles assigned to the Associate University Registrar for Student Information Services.
4. Participate in the development, testing and implementation of system upgrades.
5. Process approved requests for security access to Banner, PROWL, Degree Works, Etrieve, and Argos following prescribed procedures and University standards.
6. Monitor integrity of Student Records data within and across enterprise information systems; develop solutions to identify data errors, including duplicate or inaccurate records and to correct these errors.
7. Resolve duplicate PIDM problems in student and faculty modules and coordinate with key offices on campus to assure number problems are resolved in all areas.
8. Assist in the automation of forms and the integration of web based processes.
9. Participate in university wide user group discussions and projects as necessary.
10. Assist in the development and implementation of major academic records projects within the Office of the Registrar
11. Keep abreast of university and office policy and procedures so that accurate information is dispensed to students, faculty, staff and other visitors or contacts.
12. Manage data by identifying, isolating, preparing, and gathering data for : academic data, demographic data, registration, change of program, (drop / add), grades, and schedule of classes.
13. Enter systematized data directly into data files and automated input device.
14. Represent LMU within the Registrar community and at professional organizations or associations, serve on committees as required.
15. Perform other duties as assigned or requested

Requisite Qualifications
- Typically a Bachelor's Degree or equivalent combination of education and experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation / policy changes.
- Minimum 3 years of relevant experience in the areas of registrar / academic records / student systems preferable in an academic community.
- Demonstrated knowledge in the areas of : SQL and reporting tools, modern office practices and procedures; operation of various office machines; filing systems; proofreading; correct use of English, spelling, grammar; mathematical computations. Organizational skills and accuracy in recording tasks are essential.
- With minimal supervision, perform academic record functions involving independent judgment and requiring accuracy. Stay informed on academic policies and regulations, as well as changes in office procedures.
- Use good judgment in interpreting the rules, regulations, procedures, and policies of the University (which vary with each college) for the students and faculty, referring exceptions to the proper person for appropriate action.
- Maintain confidences and confidential information.
- Exemplary communication skills (both written and oral). Work effectively with all levels of the University organization, maintaining a friendly, courteous, fair, and yet firm disposition.
- Demonstrated computer competency and preferably knowledgeable of Microsoft Office suite and student information systems (i.e. Ellucian Banner).
