Reporting to the Associate Dean of Finance and Administration, manages budget reporting, Workday support, and related communication for School of Education. Oversee staffing resources and staff searches, technology asset inventory, and construction and facilities management within the School of Education. The ideal candidate will demonstrate strong financial literacy and budget acumen, organizational leadership and skills, project management, and a commitment to fostering professional and effective collaboration across various LMU campus services.
Position Specific Responsibilities / Accountabilities :
Budget Reporting and Support :
- Produces and disseminates applicable and requested ongoing budget reports. Liaison with LMU Post-Award Accounting, SOE Grant Manager, and SOE Student Services division, and other relevant partners to generate periodic spend reports.
- Takes the initiative in providing Workday guidance and support to SOE departments, faculty and staff in budget and finance processes.
- Provide timely and accurate information to all applicable finance and budget approvers, SOE departments, faculty, staff, LMU campus offices, and grant directors and auditors.
Human Resources
Lead, provide support, and guide SOE faculty and staff for position creation, searches, and recruitment of staff and student assistants.Maintain high level of confidentiality and perform confidential processes in collaboration with Dean, Associate Dean, and HR. Oversee job description development, internal review, edits and submission for formal HR analysis. Ensure alignment of resources with contracts and employment offers.Lead onboarding, transitions, and off-boarding processes of faculty, staff, and student assistants.Maintain staffing statistics for reporting to state and federal agencies. Provide quarterly organizational chart refreshes and edits.Amplify HR communications and check for understanding with faculty and staff for campus-wide initiatives.Space and Technology Management :
Proactively identify opportunities for optimized space and technology utilization, prioritizing strategic initiatives in collaboration with the Associate Dean, budget personnel, and Dean. Collaboratively develop and direct strategic budget requests and monitor spending and projections for technology and facilities projects.Collaborate with Facilities Management (FM) construction and design personnel to propose and implement effective large and small-scale solutions, strategically optimizing use of grant and capitalized budgets. Oversee construction and facilities resources in support of SOE mission and strategic priorities. Monitor large-scale construction expenses, including change order approvals.Lead professional optimization and utilization of eight suites, including conference rooms and classrooms, 110 offices, pantries, and large storage spaces to meet academic program needs, initiatives, and faculty, staff, and student-employee needs. Coordinate office and technology set-up and clean-out with personnel onboarding, transitions, and exits. Approve LMU ID and door access management to SOE suites. Communicate and adhere to LMU and SOE office or work-space guidelines.Independently manage over 300 computer assets for onboarding and offboarding of staff, student workers, and faculty, including onboarding, transitions, and offboarding of faculty and staff. Maintain sound fiscal responsibility, obtaining or eliminating assets to optimize budget expenses. Conduct a thorough audit of computer inventory every 6-12 months in tandem with Information Technology Services review cycles.Facilitate personnel access to applicable web-based technology applications.Manage and update numerous email distribution lists and permissions.Serve as SOE Emergency Management Liaison with Emergency Management Department. Facilitate SOE trainings and communications surrounding emergency management policies and procedures. Actively participate in emergency management planning and collaboration with public safety and emergency management for disaster response preparedness and operations.Other

Requisite Qualifications :
Typically a Bachelor’s degree required. Master’s degree preferred. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of technology, regulation, and policy changes.Minimum of five years of progressively responsible experience in resource administration in budget and finance areas.Directly related experience within higher education or similar education environment highly desirable.Strong analytical and organizational leadership skills with strength in employee relations, creativity, and project management.Excellent communication and interpersonal abilities to work collaboratively with faculty, staff, and administration.Proficiency in technology and advanced utilization of technology to meet project needs and projections.Position annual salary is budgeted in the range of $66,600-$73,000, based on experience and background.
