Duties and Responsibilities
Job Summary:
The Assistant Director of SSOM Admissions will support the Assistant Dean (AD) in developing, implementing, supporting, and evaluating the policies and procedures governing a comprehensive recruitment and admissions process of qualified students to SSOM that reflect our Jesuit Catholic tradition and mission. The Assistant Director will be committed to attracting diverse students with strong backgrounds in academic, service work, and a variety of life experiences. She/he will engage in systematic review and evaluation of all components of the admissions and matriculation process. She/he will assist in the supervision and coordination of admissions unit staff and orchestrate/oversee recruitment and outreach initiatives for SSOM. She/he will manage and update all media components related to SSOM online and in print.

Assistant Director primary responsibilities:
  • The Assistant Director will participate as a dedicated interview committee member, responsible for interviewing each interview day.
  • The Assistant Director will participate as a dedicated member of the Selection and Review committees, reviewing files as needed throughout the interview cycle.
  • The Assistant Director will assist in direct supervision of office temporary or office coordinator position within the admissions office.
  • The assistant director will be the program liaison with the Diversity, Equity and Inclusion, Student Life, Ministry, and Bioethics departments and the food service vendor on site (Handcut) in collaboration efforts with the Office of Admissions.
  • The Assistant director will be the direct liaison between the Office of Admissions and students participating in the Recruitment and Outreach committees each year. This includes arranging tours, having panelists for admissions events, and providing student support for annual recruitment events on-site and offsite.
  • Works closely with Assistant Dean (AD) to help manage the admissions committees and the over 200 members of the committees. This includes appointments, training, feedback, data metrics, scheduling, and related workflow. In the event of the AD’s absence, the Assistant Director will perform all necessary duties.
  • Works closely with the AD to ensure accreditation standards are met regarding the admissions process, financial aid, matriculation process, and the confidentiality of student records.
  • Participates in developing, implementing, and supporting annual recruitment plan throughout the U.S., which includes traveling 1-2 times a month during the recruitment season.
  • Communicates all changes and updates to IT infrastructure to communications team and ensures proper implementation/functionality.
  • Assistant Director will assist the AD in managing the departmental budget of the office of admissions.
  • Assistant Director will serve as ex-officio member and assist AD in running the Executive Admissions Committee meetings.
  • Assistant Director will work with AD to manage information sent to and published by the AAMC including MSAR and other school specific policies/information.
  • Assistant Director will work with AD to develop and implement the annual recruitment strategy for each admissions cycle, as well as evaluate and track outcomes for analysis of effectiveness.
  • Assistant Director will work with AD to execute Maroon and Gold requests for counseling.
  • Perform other duties as assigned.

Minimum Education and/or Work Experience
Degree in related field and three-five years of experience in higher education research administration activities, or equivalent combination of education and experience.

Qualifications
  • Medical school work experience and financial aid experience is highly desirable.
  • Minimum two years experience in medical school admissions.
  • Must possess excellent communication and presentation skills.
  • Ability to articulate the mission of the University , and the ability to manage multiple tasks in a professional setting.
  • A strong work ethic and desire to engage with students from diverse backgrounds.

Certificates/Credentials/Licenses
Bachelor’s degree in relevant discipline plus minimum of 2 years of progressively responsible admissions or higher education experience in a medical school environment.

Computer Skills
Proficiency with MS Office Suite, Internet and email applications.
