Purpose:

The Packaging Sales Coordinator plays a key role in ensuring the smooth execution of projects by supporting client communications, sample coordination, and internal processes. This role directly contributes to LR Paris’s overall mission by ensuring the successful delivery of high-quality packaging solutions to customers and elevating the overall customer experience.


Responsibilities of Packaging Sales Coordinator:


Client-Centered Support

  • Stay in the loop on all client communications to ensure alignment with internal teams.
  • Assist with completing customer forms (e.g., NDAs, reports, invoices, supplier registration).
  • Assist with Brand Authorization registration for customers.
  • Schedule client calls and meetings, coordinating with stakeholders.
  • Collect and upload customer data and artwork documentation to the project management system (Asana) for project briefs.
  • Provide timely updates on sample arrivals and tracking numbers.
  • Provide assistance in preparing request for proposal (RFP) documentation, including forms, decks, and samples.
  • Organize and dispatch samples, ensuring accurate and on-time delivery.
  • Assist in collecting overdue invoices and communicate with customers on payments.
  • Troubleshoot customer issues and report to relevant teams for swift resolution.

Sales Prospect Support

  • Set up and schedule prospect calls and online presentations.
  • Attend meetings with prospects as needed.
  • Support marketing initiatives as needed to promote the brand and company offerings.
  • Assist in organizing Open Houses and Learning & Launch initiatives to attract new prospects.
  • Help in generating presentations and managing sample dispatch to prospects.
  • Order prospect supplies when required, ensuring timely delivery and accurate tracking.
  • Assist with prospect mailings, ensuring effective follow-up and communication with potential clients.

Product Development Assistance

  • Support the drafting of price and design proposals.
  • Assist in managing the sampling process, ensuring that all required samples are dispatched in a timely and organized manner.

Factory and Supply Chain Coordination

  • Stay in the loop for all factory communications to ensure smooth production.
  • Collect relevant documentation (artwork documents, quotes, tracking numbers) from factories and upload them to Asana for internal tracking.
  • Track the arrival of samples daily, providing updates to the Sales and Production teams to ensure project timelines are met.

Internal Operations

  • Regularly update opportunities and sales pipeline in CRM tools.
  • Maintain client lists and contact information in internal systems.
  • Assign tasks to internal teams (e.g., Production, Accounting, Logistics) via project management tools (e.g., Asana) to ensure timely project execution and completion.

Accounting & Financial Support

  • Update financial sheets to track project costs and client payments.
  • Assist in closing jobs and preparing documentation for Finance.
  • Support the Accounts Receivable process by following up on overdue invoices and facilitating communication between clients and accounting.

Legal Coordination

  • Act as a liaison between involved parties to coordinate legal exchanges (e.g., contracts, NDAs) with the legal team.


Qualifications for Packaging Sales Coordinator:

  • 2-3 years of experience in a sales support or administrative role, ideally within the luxury packaging or custom product sector.
  • Proficiency in MS Office, Asana, and other project management tools.
  • Strong communication skills with an ability to manage client relationships and facilitate internal processes.
  • Ability to prioritize, work under time pressure, and solve problems effectively.
  • Detail-oriented and organized with the capacity to manage multiple tasks at once.
  • Energetic, proactive, and a team player with a positive attitude.
  • Strong understanding of luxury customer service expectations and standards.
  • Experience in the luxury packaging or custom product industry is a plus.
  • Ability to quickly learn and adapt to internal tools and processes.


Preferred Experience:

  • Sales assistance experience in highly customized product environments, particularly within the luxury sector.
  • BS in Business or a relevant field.
