About the Role
This role is assigned to the regulated electric transmission business of LS Power. This position supports the Austin business office and control centers and performs administrative duties for the various departments. Basic responsibilities include answering phones, handling expense reconciliations, accepting deliveries, visitor logging, ordering supplies and managing logistics for meetings. Advanced responsibilities will entail document management administration, budget preparation and reporting, and publication of newsletters and operational reports. This position reports to the Office Manager.
Responsibilities
What you will do:
- Maintain and update files, reports, forms, logs and procedure documents as necessary
- Support document management processes utilizing an Electronic Content Management (ECM) software platform
- Type and proofread memos, letters, reports
- Assist in processing employee training, travel arrangements, expense reimbursements, and vacation schedules
- Assist office staff with time sheets and expense reports and catalog a list of approved work orders for employee time tracking
- Receive, sort, and distribute incoming and outgoing mail
- Oversee break room supplies and manage office supply inventories
- Manage business meeting logistics and meal arrangements
- Arrange conference calls as needed, answer incoming calls and record phone messages
- Record and publish minutes of meetings as required
- Maintain a vendor/contractor contact list
- Coordinate meetings for office personnel as requested
Qualifications
We want you on our team because you:
- Hold a High school diploma with Associate’s degree or two years of business college or equivalent. Candidates with some business college coursework and at least five years of experience supporting a similar office environment (i.e. utility, technology, or engineering) will be considered
- Have three to five years of progressive experience as an office administrator or administrative assistant
- Are a licensed notary public or ability to obtain license
- Have strong competencies in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- Are self‑motivated, disciplined, punctual and possess effective abilities necessary for the daily job duties to include excellent communication, organizational, human relations, and technology skills.
Ideally you will also have:
- Knowledge and understanding of electric utility business principles and operations
