Position Summary/Responsibilities:
JOB DESCRIPTION
The Office of the Vice Chancellor for Research Administration supports the university community with pre-award and post-award oversight and research concept/proposal development assistance. The Office also collects and maintains data necessary to prepare applications and proposals for individual research, as well as thematic research focus areas. The Coordinator will function as the internal building manager for the BRI and be the liaison with the external building manager and maintenance team. Additionally, the incumbent will assist the Directors within the Office of Research Administration with the overall management of the department by providing administrative services and support. The Coordinator will be responsible for handling confidential and time-sensitive material. Compliance with University policies, other medical school departments, University Administration and affiliated institutions is required.
The work hours are generally Monday through Friday from 8:00AM to 4:30PM. Additional hours may be required (exact hours should be modified as appropriate). ** Lunch/breaks are dictated by workflow.
**Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur to assure that customer satisfaction is met at all times.
Regular attendance is required to perform the functions of this position.
Essential Functions:
50% Building Management:
Manage maintenance requests and submit work orders
Place orders for liquid nitrogen for laboratories
Manage RRS requests for paper towels/soap/extra waste disposal, etc.
Oversee general housekeeping; communicate issues with staff
Allow/deny access to the BRI parking lot
Liaison between external building manager and Office of Research Administration
Manage card access to BRI; submit requests for card access changes
Work closely with facilities director to provide oversight of key control
Manage ASTRA scheduling for the BRI and process paperwork for the use of the atrium located on the ground floor
Update BRI directory and manage boards throughout the building
Ensure operation of equipment by completing preventative maintenance requirements, calling for repairs, maintaining equipment inventories
45% Administrative Support:
Perform data entry as needed in Cayuse, InfoReady, and other platforms for Office for Sponsored Programs team
Provide assistance as needed to Technology Transfer team (CDA’s, MTA’s, Inter-institutional agreements, licensing agreements)
General administrative support, such as copying, filing, scanning, making phone calls, scheduling appointments for departmental directors
Greet and assist visitors to the office
Prepare requisitions for office supplies
Receive and distribute office supplies
Receive, sort, and distribute mail
Organize travel arrangements, prior approval and travel expense vouchers
Assist with events (prior approval, order food, event setup)
5% Marginal Functions:
Other duties as assigned by the Director of Operations and the Executive Director for the Office for Sponsored Programs.
Minimum Qualifications:The applicant must meet the following:
· Associate’s Degree from an accredited university or college in Business Administration or a related field with five (5) years of professional experience.
· Knowledge of Microsoft Word, Excel, and PowerPoint.
Preferred Qualifications:
· Bachelor’s Degree from an accredited university or college in Business Administration or a related field.
· Knowledge of PeopleSoft and Cayuse applications.
