Position Summary
The Transportation Supervisor is responsible for the day-to-day supervision of transportation loading staff, loading operations, yard management, and equipment management. This role is also engaged in driver management, truck utilization, service level execution, on-time departure, on-time arrival performance, and route guide compliance and management. The Transportation Supervisor will work to ensure all outbound freight is loaded safely, without damage, in addition to assuring the execution of safe, DOT compliant loading procedures.
Responsibilities and Duties:
· Manage loading of outbound freight and loading staff, ensuring product loaded follows trailer schematics. Notify Transportation administrative team of all complications in the interest of replanning the trailer schematic.
· Ensure finished product is accurately stored in the yard, and that the yard stays organized and clean.
· Ensure outbound freight is loaded in accordance with the route schedule, ensuring on-time departure for drivers.
· Ensure parts are packaged properly, assigned to appropriate routes, and loaded onto correct trailers as outbound freight.
· Assist in executing planning and routing of trucks and drivers in dispatch/planning software. Assist in assigning loads to drivers and any purchased transportation. Assist in creating invoices, BOL’s, and any additional related paperwork required for shipping needs. Cross-check load charts and invoice(s) for each route, finalizing routes in dispatch/planning software.
· Assist in finalizing load drop sheets for driver packets and ensure timely distribution to drivers in addition to verbal dispatches.
· Field driver calls, maintain fluid communication with drivers in all aspects of routes, driver needs, updated information, etc.
· Field driver calls after hours on a scheduled basis.
- Consistently monitor driver ELD’s for DOT/FMCSA compliance, execute edits for logs as needed, council drivers and execute performance improvement plans as needed. Review drivers’ HOS and safety performance and communicate areas of concern, etc. to Transportation Management as directed.
- Ensure all company fleet equipment is operating in a safe, DOT compliant manner by maintaining company equipment through established preventive maintenance and repair programs. Work directly with truck and trailer repair companies to schedule routine services and non-reoccurring maintenance. Perform periodic fleet equipment inspections and work with Service and Breakdown groups to adequately maintain equipment and meet service schedules weekly.
· Work with truck leasing organizations for all issues related to operating equipment and maintaining consistent, fluid communication for on-the-road services.
- Assist in ensuring drivers execute proper vehicle Pre- and Post-Trip Inspection Procedures and reporting daily. Responsible for driver counseling related to proper procedures. Ensures compliance with all DOT and FMCSA applicable state, federal, and local laws and regulations. Processes necessary paperwork for compliance at state, national, and international levels.
- Assist in ensuring all LTA drivers and company equipment operate within DOT/FMCSA compliance and report any current or foreseeable situations and issues to transportation management for resolution.
- Assist in ensuring correct use of and assist with driver training on ELD system so work performed is accurately represented. Perform weekly audits of driver logs and execute corrective action plans as needed.
- Work with Customer Service, Quality, and other areas to collect details of damaged products and provide information to Transportation Management and Plant Management.
- Ensure company products are transported under conditions that maintain product integrity, including but not limited to product securement, clamping, loading requirements, etc. Advise yard/loading staff on safe loading procedures as needed.
- Oversee volume, frequency, and driver schedules for all intercompany freight. Work directly with Transportation Management, Plant Management, and Purchasing Managers to ensure all needed product is shipped promptly. Ensure all required staff are informed of all information related to intercompany loads.
· Assist in issuing ETA’s Dealers and Customer Service for all deliveries and pickups, update Customer Service with changes as they occur. Email invoices to all Dealers with ETA’s as well as revisions as they occur.
· Responsible for weekly mileage reporting.
· Monitor daily activities of yard/loading staff to ensure timely and accurate loading of all outbound deliveries. Adjust routes, invoices, delivery dates, etc. as needed. Invoice customer pickups as needed.
· Process customs documentation for customs clearance.
· Serve as backup for Transportation Specialist as needed.
· Provide back-up to customer service answering phones as needed.
· Coordinate with applicable Management for any trailer maintenance, trailer usage or driver issues.
· Other duties as assigned.
Qualifications and Skills:
· High school diploma or equivalent required.
· The Transportation Supervisor must be available to work 8:00 am-5:00 pm on Monday and Fridays and field driver’s calls after hours. Flexibility of hours may be allowed as needed.
Physical Demands:
The employee is regularly required to sit; use hands and fingers, handle or feel objects, talk, hear and see. The employee must occasionally lift and/or move up to 25 pounds, stand, walk, climb, balance, stoop, kneel, crouch, crawl, or reach with hands and arms. The environment is fast paced; time pressured and requires accuracy. The employee will regularly multi-task between projects, be required to move throughout the building, and effectively communicate.
