The Billing Data Coordinator is a professional who specializes in organizing and managing billing data to ensure accuracy and efficiency in financial operations. They collect, organize, and interpret data related to billing processes, identify trends and anomalies, and generate reports. This role involves ensuring compliance with regulatory standards, collaborating with various departments, and implementing data-driven solutions to improve billing practices.
Duties and Responsibilities
- ·Gather, organize, and maintain billing data from various sources, ensuring accuracy and completeness.
- Generate detailed reports and dashboards to provide insights into billing operations and key performance indicators (KPIs).
- Maintains and works the accounts receivable third-party aging report by looking into why take backs have occurred.
- Pulling reports to clean up patient records and checking patient and account details.
- Run monthly no prior authorization reports and prepare the data to be sent to the Account Executives in a timely manner.
- Email or speak to Medicare representatives to discuss appeals and grievances.
- Reconcile patient accounts.
- Review and audit claims and patient accounts to find solutions on rejects, past due billing issues, and troubleshooting difficult accounts on trial balances.
- Audit facility payments to understand why a customer short paid an invoice or overpaid an invoice.
- Perform end of month audits which include but are not limited to making sure credits are applied properly, correcting patient plans, patient status, tax codes, drug pricing, etc.
- Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
- Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent account holders to request payment.
- Creates reports regarding the current status of customer accounts as requested.
- Research customer discrepancies and past-due amounts with the assistance of the Billing Office Manager and other staff.
- Collaborate with the Billing Office Supervisor to reconcile accounts receivable monthly.
- Assists Billing Office Manager in reconciling revenue accounts each month.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Entry of patient information into company software efficiently and accurately.
- Prepares patient statement and processes account. Research discrepancies and work to resolve.
- Initiates and maintains accurate reporting as necessary.
- Participate in the month-end process, including but not limited to third party and private pay billing as well as account follow-up.
- Identify and report account billing issues to management.
- Serves as back-up support for staff within the billing office.
- This position has access to PHI and must comply with HIPAA regulations.
- Complies with company Corporate Compliance Program.
- Other duties as assigned.

Education and Experience:
- High school diploma or equivalent required and two years of prior experience in a professional medical office setting preferred.
- Pharmacy Technician Certification preferred.
- Understanding of payers such as Medicare preferred.
