JOB TITLE: ADMINISTRATIVE ASSISTANT III

POSITION INFORMATION: Full-Time position will independently provide support services to satisfy the overall operational objectives of the National Cancer Institute. The primary objective is to provide services and deliverables through performance of support services. Operational hours are 8:00 am – 4:30 pm. Work will be performed up to 40 hours per week during normal business hours, Monday-Friday, excluding Federal holidays.
SCOPE:
- Work closely with Program Directors on gathering logistical information for meeting, conferences, and/or workshops.
- Collaborate with other DCB meeting coordinators to ensure all meeting/conference/workshop requests and needs of the program are met.
- Effectively communicate with the meeting contractor with securing quotes for services within established deadlines.
- Work with meeting contractor on securing lodging for participants.
- Coordinate with CBIIT Events Management Staff on websites and registrations as requested by Program Director.
- Reserve conference space for meetings, workshops and/or conferences in NIH or outside of NIH.
- Prepare and/or distribute meeting materials (agenda, name badges, tent cards, participants list, etc).
- Maintain budget of meeting with current costs; communicate budget updates regularly to the DCB ARC and DCB Deputy Director.
- Request weekly updates from meeting contractor and provide updates to PD, DCB Deputy Director, Chief of Staff.
- Work with the DCB Communications Team on broadcasting meeting information throughout NIH.
- Efficiently work with DCB ARC for any required administrative approvals (including Attachment A’s).
- Update DCB Calendar and Event Planning System with meeting information by internal deadlines.
- Prepare and execute travel arrangements for non-NIH affiliates and other Federal Government travel by preparing travel authorizations and vouchers.
- Provide day of event meeting support either in-person or virtual as requested by the Program Director.
- Provide other administrative support as requested such as assistance in scheduling meetings.
QUALIFICATIONS:
- College degree OR
- High School Diploma or GED and four (4) years of related work experience
- Ability to perform more complex administrative tasks
- Ability to support senior level staff
- Possess advanced computer skills
- Ability to perform a variety of administrative functions
