Part-Time Executive Assistant – Lucarelli Hospitality

Lucarelli Hospitality is seeking a highly organized and proactive Part-Time Executive Assistant to support our executive leadership team. This role is essential in ensuring smooth daily operations across our hospitality group while upholding our high standards of professionalism and guest service.
Position Details
- Part-time (Flexible schedule, approximately 20-25 hours per week)
- Location: Kennebunkport, ME In-office, Monday, Wednesday, Friday
Key Responsibilities:
Calendar & Travel Management
- Manage executive calendars, schedule meetings, and coordinate internal/external calls.
- Organize meeting logistics, including room booking, agenda preparation, and materials.
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and manage expense reports.
Communication & Administrative Support
- Screen and prioritize calls and emails, responding on behalf of executives when needed.
- Draft professional correspondence, including emails, reports, and presentations.
- Maintain organized filing systems (both digital and physical) for key documents.
- Manage office supplies, equipment maintenance, and vendor coordination.
Project Coordination & Guest Relations
- Assist in managing special projects, conducting research, and ensuring deadlines are met.
- Collaborate with cross-functional teams to support operational needs.
- Coordinate arrangements for VIP guests, including accommodations and special requests.
- Serve as a liaison between departments to enhance the guest experience.
Qualifications & Skills
- Exceptional Communication: Strong written and verbal skills for professional interaction.
- Highly Organized: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, PowerPoint), calendar management tools, and CRM systems.
Experience with Toast, Open Table, and Tripleseat are a plus.
- Discretion & Confidentiality: Ability to handle sensitive information with professionalism.
- Hospitality Industry Experience: Understanding of guest service standards and operations.
- Adaptability & Flexibility: Comfortable in a fast-paced environment with shifting priorities.
