Position Overview
We are seeking a highly organized and proactive Office Manager & Executive Assistant to join our team. This hybrid role combines responsibilities for overseeing office operations with providing high-level administrative support to executives. The ideal candidate will be resourceful, adaptable, and capable of balancing various tasks and projects in a fast-paced environment.As the Office Manager you will:
- Oversee day-to-day office operations, ensuring a smooth and efficient working environment.
- Manage office supplies, inventory, and equipment maintenance.
- Liaise with external vendors, suppliers, and service providers to maintain office needs; order new supplies as needed.
- Troubleshoot basic IT, phone, and office equipment issues including but not limited to copiers, printers, scanners, voicemail systems, cable, Wi-Fi, and computers; open tickets with external IT support as needed and ensure timely resolutions.
- Organize and manage office events, meetings, and team-building activities; manage event logistics by coordinating and tracking attendees, ensuring timely communication, preparing materials, and overseeing event setup and execution.
- Order gifts and send thank-you notes to clients, partners, and stakeholders as part of maintaining positive business relationships.
- Provide administrative support to the executive team, including calendar management, travel arrangements, and expense reporting, for business meetings and personal tasks as needed.
- Orient and onboard new office occupants with regards to building and card key access, phone services, ID badges, business cards, door signage, IT equipment, fitness facility, and office supplies.
- Organize and coordinate meetings, both in-person and virtual.
- Maintain clean and orderly office environment; interface with custodial staff as needed.
- Assist with other duties as needed to achieve departmental and organizational goals.
To be successful, you will need:
- 3 years of experience in office management, executive support, or a combination of both.
- Prior experience in a fast-paced, dynamic office environment
- Proven experience as an office manager, executive assistant, or in a similar administrative role.
- Strong organizational and time-management skills with the ability to multitask effectively.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Discretion and confidentiality in handling sensitive information.
- Ability to adapt to changing priorities and maintain a positive, can-do attitude.
- High attention to detail and problem-solving abilities.
- Basic understanding of IT systems and troubleshooting experience is preferred.
Schedule
- Typical office hours - Monday through Friday, 8:30-5:30
- Minimum of four days per week in the Sacramento office (Monday through Thursday)
- Friday typically remote, depending on needs
Compensation
