Overview:
We are seeking a detail-oriented Construction Coordinator / Customer Service Specialist to join our team. The ideal candidate will be responsible for providing administrative support to our construction projects, ensuring smooth operations and efficient communication within the construction team.
Construction Coordinator [Warranty] Description:
The Warranty Specialist position requires working closely with customers, general contractors, and sub-contractors in a fast-paced environment. They must be a team player that is able to achieve a high level of customer satisfaction while staying on time and on budget. The ideal candidate is a team player who can multi-task, use excellent time management, organizational, and communication skills. Must be able to deal with and remain calm in challenging situations.
Responsibilities – Construction Coordinator [Warranty]:
- Will manage the overall warranty process on multiple projects.
- Is responsible for working with the Property Owners and Property Managers to evaluate warranty concerns and correct and/or schedule follow up with trade partners to ensure management’s satisfaction.
- Coordinate and schedule all repairs with subcontractors and customers.
- Document all repairs, materials and labor to complete each job within budget.
- Handle multiple tasks, as well as projects within designated timeframes. Responsible for completion of service work orders within 14 days, emergency repairs within 48 hours.
- Compile weekly reports of open/completed warranty orders to specific management.
- Support the Construction team by doing occasional tasks for Construction Project Managers when out on leave.
- May be required to help contractors track punch out lists on jobs under construction to provide zero defects at closing of the project.
- May be required to manage and/or help perform with routine office duties.
- May be required to help and manage Shipping and Receiving tracking.
Qualifications:
- Technical construction knowledge to understand construction processes and terminology to assist in management of field personnel and systems.
- Effective time management skills to manage a busy work environment. The ability to schedule and organize multiple jobs is critical to meet deadlines.
- Computer experience – the ability to use technology (Smart Phone, I-Pad). Experience with Microsoft Suite and Outlook for email correspondence.
Responsibilities – Customer Service Specialist:
- Greet and assist onsite guests in a low-volume office setting
- Answer inbound telephone calls
- Process incoming and outgoing mail/UPS/FedEx deliveries
- Plan and schedule appointments and events
- Assist with administration over contracts / Subcontracts
- Draft correspondence and other formal documents
- Perform other office tasks
Qualifications:
- Previous experience in office administration or other related fields
- Ability to prioritize and multitask
- Support project and office staff
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
