JOB SUMMARY
Seeking a full-time, Medical Support Assistant for a 40-hour per week position. The position requires familiarity with medical terminology, patient confidentiality laws (HIPAA), and a commitment to delivering excellent customer service in a clinical environment.
RESPONSIBILITIES
- Answer phone calls in professional manner and address any queries patients may have.
- Provide excellent customer service internally and externally.
- Update patient demographic information and check in patient(s) for scheduled appointments, i.e. medical, dental, pharmacy, laboratory, etc.
- Obtain the patient's Third Party health cards, scans administrative documents in the electronic health record and enter/update all information in RPMS/PMAS.
- Receive all signatures for required forms during registration and provide all brochures as required.
- Verify third party insurance at each visit; Medicare, Medicaid, Private Insurance, VA, etc. and update patient record.
- Schedule, reschedule and cancel simple to complex appointments; coordinates appointments in a timely manner to avoid conflicts in patient treatment. Manage a variety of provider orders and nursing instructions involving patient care, Purchased and Referred Care, tests, medications and treatments.
- Approve or Deny referrals weekly, create Purchase Order or Denial Letter.
- Monitor the Pended Claims Report and act as required.
- Submit the Funds Status Report weekly.
- Submit the Open Documents report monthly to vendors and document once the report is returned.
- Uses Vista Imaging software to scan records into the patient record.
- Receives and/or gives out Release of Information (ROI) forms, assists visitors and/or callers with the completion of forms or documents.
- Reviews paper and electronic health records (i.e., scanned notes, reports, special tests; etc.) to identify material to be photocopied/printed/written to electronic media and released.
- Maintains a record of disclosure of all information released. Responds to requests for emergency medical information from hospitals, doctors, medical examiners, law enforcement agencies and others.
- Reviews all medical information for sensitive elements to ensure release is completed only within the required standards and applicable laws.
- Requests records from other facilities, including Federal Records Centers, as requested.
- Assists the department with data auditing functions in accordance with departmental and facility procedures and practices, including all aspects of entering, abstracting, and auditing of data from EHR, PCC, PMAS, and other RPMS packages. Works with the Information Management (Site Manager) to resolve technical problems.
- The following applications will be utilized; Resource Patient Management Systems (RPMS), Electronic Health Record (EHR), Practice Management Application Suite (PMAS), Vista Imaging (VI), Personal Health Record (PHR) and Direct Messaging.
- Maintains record confidentiality in accordance with the Health Insurance Portability and Accountability Act (HIPAA), Privacy Act of 1974, confidentiality of Alcohol and Drug Abuse Patient Records, Freedom of Information Act and other pertinent federal regulations.
- Assist Taos and Picuris Tribal organizations in support of community events.
SKILLS AND QUALIFICATIONS
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office applications.
- Familiarity with HIPAA regulations and commitment to patient confidentiality.
- Ability to interact professionally with patients and healthcare staff.
- Strong organizational and time management skills.
EDUCATION & EXPERIENCE
- High school diploma or GED equivalent is required.
- 1 years of experience in a medical office or healthcare setting.
