Position Summary
The Financial Aid Administrator is a student-focused role that supports the delivery of financial aid services to promote equitable access and success. Duties & Responsibilities
Financial Aid Operations and Compliance
- Assist with the daily administration of financial aid functions in collaboration with the Financial Aid Director, gaining hands-on experience in key processes.
- Support need analysis, verification, awarding, loan origination, disbursement eligibility, transfer monitoring, and over-award resolution processes.
- Ensure timely and accurate aid disbursement while helping resolve procedural issues.
- Review student eligibility for federal, state, and institutional aid programs, including Return to Title IV (R2T4) calculations upon withdrawal.
- Support student loan processing, academic progress monitoring, and financial aid appeal processes.
- Play a key role in supporting the College’s Federal Work-Study program
- Coordinate with Payroll, Academic and Career Planning, and Human Resources to recruit, hire, and monitor FWS student employees.
- Help allocate annual FWS funds, determine student eligibility, and track employment records.
- Counsel students and families on eligibility, financial aid packaging, and problem resolution.
- Administer institutional scholarship awards and ensure compliance with funding guidelines.
- Participate in outreach and recruitment efforts to share financial aid opportunities and resources, developing public speaking and counseling skills.
- Deliver presentations to students, families, and community partners on application processes, deadlines, and financial planning.
- Serve as a liaison to ensure positive relationships and accurate communication of aid opportunities.
- Manage records and assist in preparing reports for audits, IPEDS, and other federal/state reporting requirements.
- Ensure FERPA compliance and participate in audits of awards, Title IV activities, and consumer information processes.
- Collaborate with the Collaborative of Higher Education Shared Services (CHESS) to implement the student information system, provide input, and support testing for successful deployment.
- Engage in regional, state, and national training opportunities to build expertise in financial aid regulations and processes, while developing skills for future leadership roles.
- Support the long-term goal of building internal leadership capacity for future Financial Aid Director. opportunities.
- Familiarity with financial aid administration principles and practices, or the ability to quickly learn and apply relevant knowledge.
- Experience with or willingness to learn financial aid software systems (e.g., PowerFAIDS or similar).
- Interest in and ability to understand key regulations (e.g., Return to Title IV, enrollment reporting) with training and guidance.
- Basic skills in data reporting and analysis, with a willingness to develop proficiency.
- Strong communication, counseling, and interpersonal skills, with a focus on student support.
- Effective organizational and time management skills, with the ability to adapt to changing priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Collaborative mindset, problem-solving ability, and a desire to develop leadership skills.
- Bachelor’s degree required or an equivalent combination of education and experience in a related field (e.g., student services, finance, or administration).
- Minimum of three (3) years of professional experience in financial aid or other student-focused administrative roles (e.g., student records, student services, student finances).
- Supervisory or team leadership experience is preferred; interest in developing leadership skills is essential.
- Experience with records management, compliance, or data systems is preferred.
