What are the responsibilities and job description for the Admissions Visit Events, Assistant Manager position at Luther College?
We are seeking a dynamic and organized individual to join our team as an Assistant Manager of Visit Events in the Office of Admissions. This role is crucial in providing an exceptional visit event experience for prospective students and families throughout their campus visit. The Assistant Manager will facilitate visit event operations, including event registration, coordinating with campus partners (e.g. Campus Programming, Faculty, Athletics, etc.), and student ambassador management. They will coordinate all aspects of the student ambassador program, from recruitment to training and scheduling. The ideal candidate will possess strong communication skills, exceptional attention to detail, a growth-mindset for scalable practices, and a passion for creating memorable experiences for prospective students. This person will report to the Associate Director for Visits and Marketing. As part of a small team, they will be responsible for cross-training in other areas admissions operations, including assisting with Visit Center staffing.
Visit Event Management (35%)
- Serve as the primary coordinator for campus visit events, managing inquiries, pre-visit planning, and personalized agendas.
- Coordinate event communications with the CRM Coordinator, including email campaigns, social media, and website updates.
- Oversee event logistics, including visitor registration processes, facility reservations, scheduling, setup, and teardown with campus partners.
- Coordinate visits by groups from schools and organizations, from inquiry though follow-up.
- Maintain accurate records of visitor information and event logistics, resolving scheduling conflicts as needed.
Student Ambassador Program (35%)
- Coordinate all aspects of the Student Ambassador program, including recruitment, hiring, and onboarding.
- Develop and deliver training to prepare Student Ambassadors for their roles, ensuring a thorough understanding of campus resources, tour protocols, and visitor engagement strategies.
- Assign duties to Student Ambassadors, including conducting tours, hosting overnight guests, and supporting admissions events.
- Establish clear policies, expectations, and performance standards for Student Ambassadors, providing regular feedback and support.
- Lead monthly ambassador trainings and meetings, including occasional evening and weekend ambassador events.
- Foster a collaborative and professional environment among ambassadors, encouraging personal and professional growth.
- Regularly evaluate the program to ensure alignment with institutional goals and make adjustments as necessary.
Coordination and Collaboration (20%)
- Work with faculty, staff, coaches, and students to arrange participation in visit activities.
- Maintain detailed event checklists and ensure tasks are completed on time.
- Build strong relationships with campus partners, catering services, and vendors to support event needs.
- Collaborate with campus departments to align event logistics with policies and procedures.
- Assist the Individual Visit Assistant Manager with Visit Center staffing, including ambassador tour assignments and serving as backup during
Reporting and Evaluation (10%)
- Develop and update a standard procedure document for visit event planning and execution.
- Conduct regular planning and evaluation meetings with admissions staff.
