Luther College seeks an experienced and effective leader for the role of Assistant Provost and Registrar (APR). Reporting to the Associate Provost and Dean of Academic Affairs, the APR will be responsible for maintaining the accuracy and integrity of student records, registration processes, ensuring compliance with academic policies, and providing exceptional service to students, faculty, and colleagues in areas such as Financial Aid, Admissions, and the Office of Student Success. The APR will serve on shared governance committees and will work closely with academic department heads and other leaders. 

 

Luther College is located in rural Northeast Iowa, a regional hub for outdoor recreation in the vibrant and scenic Driftless region, containing two nationally recognized healthcare systems, top ranked schools, business, agriculture, specialty retail, dining and tourism. Major Midwest metropolitan areas within a three-hour driving distance include Des Moines, IA; Minneapolis/St. Paul, MN; and Madison, WI. We are an easy drive to La Crosse, WI; Cedar Falls/Waterloo, IA; and Rochester, MN, home of Mayo Clinic.

Key responsibilities include: 

 

Office of the Registrar management: The APR will lead and support office personnel, providing both a vision for the work and expert guidance and professional development opportunities for the team of four professional and multiple student employees as they provide exceptional service to students and colleagues. The APR will utilize industry best practices in records management and effective use of technology, and manage resources wisely. 

 

Data integrity and compliance: The APR ensures student records are effectively and securely managed and systems are maintained and improved. The APR will ensure compliance with all federal, state and accreditor requirements for records and reporting, as well as all requirements related to FERPA, NCAA, VA services and Clearinghouse regulations. The APR will ensure that grade processing, transfer credit evaluation, degree audit, course inventory management, and all other policies are in alignment with best practices as established by the American Association of Collegiate Registrars and Admissions Officers (AACRAO). 

 

Space and time utilization: The APR will work with others in Academic Affairs to optimize the availability of course offerings and maximize the use of classroom resources throughout campus across all course periods. The APR will ensure notification of the provost, facilities services, IT or appropriate laboratory/studio representatives should there be issues with classroom resources.

 

Transfer process oversight: In collaboration with Academic Affairs and Admissions colleagues, the APR will support transfer credit evaluation and engage in dialogue with counterparts at other colleges and universities to document transfer pathways, maintain updated transfer course equivalencies, and engage in the drafting of articulation agreements, improving policies, processes and the use of technologies to facilitate this work. 

 

Collaboration to ensure student success: The APR will work with colleagues from across the institution to develop, revise and implement policies, procedures and programs related to student success from matriculation through graduation. These policies, procedures and programs will pertain to those that include, but are not limited to, transfer credit evaluation, registration procedures, degree audits, course grading, orientation exercises, commencement exercises, and the alignment of academic functions with College mission. 

 

Qualifications, Characteristics, and Work Environment: 

The APR will have a proven record of higher education administration leadership, be knowledgeable about data and information management in a higher education setting, and have a strong understanding of the factors underlying student success and retention. The APR will value engagement with students and faculty, process improvement and automation. The APR will possess most, or all, of the following experiences, capabilities, and attributes:

  • Master's degree; 
  • Managerial skills to engage, supervise, and develop team members and complete all associated personnel actions in a timely and accurate manner; 
  • Knowledge of federal and state laws, in particular FERPA and mandates pertaining to enrollment, student records, and institutional compliance; 
  • Excellent communication and analytical skills; 
  • Knowledge of a student information platform, preferably Ellucian Colleague
  • Knowledge of higher education technology such as Coursedog, Slate, Pharos 360, Transferology;
  • A teamwork ethic and an ethos of continuous collaborative improvement and innovation; 
  • High integrity and capacity to maintain confidentiality of records and information;
  • Experience regarding support for students of multiple and diverse backgrounds, cultures, life experiences and abilities
  • Understanding of structural barriers that limit access to and success in educational opportunities; 
  • Ability to work effectively as part of a team in a service environment with frequent interruptions. 

 

Physical Demands and Work Environment:

  • Work is often performed in an office environment with frequent in-person interactions and requires the ability to operate standard office equipment. Involves sitting for long periods of time at desk/office. 
  • Position will require occasional evening and weekend activities to support student registration, graduation, and/or admissions events and programming

The current salary range for this position is $75,000-$95,000; placement on scale is dependent on credentials and applicable experience.
