What are the responsibilities and job description for the Executive Assistant to President/CEO position at Luther Manor?
Luther Manor is looking for a dynamic Executive Assistant to our CEO to provide the highest level of administrative and inter-personal support for Luther Manor’s President/Chief Executive Officer (CEO). This would include interfacing with all levels of the organization, as well as internal and external stakeholders and interested parties and contribute to the overall function of the organization as necessary.
In addition, other responsibilities include:
- Composing, drafting, preparing correspondence and other documents as requested by the CEO including researching, preparing and editing text, tables, data, lists, charts and presentations.
- Screens and handles incoming phone calls, and if needed, routes them to the appropriate party for follow-up.
- Coordinates meetings, appointments, schedules, and travel arrangements for the CEO.
- Manages meeting cadence and agendas for internal leadership teams lead by the CEO. Promotes a cohesive approach with other departments creating a positive and healthy work community.
- Serves as a communication link among CEO and Board members, providing clarification or explanation as needed.
- Prepares and distributes Board and Committee meeting materials for the United Lutheran Program for the Aging (ULPA)/Luther Manor and the Luther Manor Foundation.
- Maintains and updates governance documents for the organization, including those of the Boards’ and the organization as assigned and assists with CEOs outside community and association involvement as necessary.
- At least 7-10 years of experience providing support at an executive level.
- Experience working with boards of directors and corporate governance preferred
- Excellent computer skills and in-depth knowledge of relevant software such as MS Office Suite
- Great attention to detail and accuracy with consistency.
- Professional communication skills, including written and verbal skills.
- Excellent time management and organizational skills to manage multiple projects.
- Ability to prioritize and meet deadlines while working in an environment with frequent interruptions.
- Ability to work independently and “take ownership” of various processes.
- Ability to use extreme discretion in working with highly confidential information.
- Willingness to work extra hours when required.
