POSITION SUMMARY:The Facilities Supervisor is responsible for maintenance and care of Lutheran Community Services Northwest (LCSNW) owned and leased properties in Washington State. It is the responsibility of this position to ensure proper operation of all aspects of the facilities and to create an optimal environment for the occupants and their respective business functions. They must coordinate, oversee, and ensure the safe, secure, and environmentally sound operations and maintenance of the facility and grounds. They will consider both tactical and operational levels of facilities management by overseeing the following activities: mechanical/HVAC systems, power systems, life/safety and other building systems. This position will perform handyperson services for minor renovations and repairs and will supervise vendors who perform facility maintenance and repairs services. ESSENTIAL JOB FUNCTIONS/MAJOR JOB RESPONSIBILITIES:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Day-to-Day Facilities Operations Provide or source end-to-end exterior and interior maintenance, handyperson repair and maintenance of LCSNW owned buildings (Bellingham, SeaTac, Spokane and Tacoma) and leased properties, where self-performed tenant maintenance and repairs are appropriate.  Manage, prioritize and document all maintenance and repair requests in Zendesk and the Facilities Management Agenda. Oversee vendors providing services to the LCSNW Owned Buildings e.g. landscaping, HVAC, custodial, etc., to gain cost advantages and continuity in service. Provide support to leased offices to contract with reputable vendors to provide services as needed.  Monitor vendor performance to determine effectiveness, costs and to address performance issues. At the direction of and in coordination with the Facilities Project Manager this position will participate in supervisory capacity in special construction and renovation projects and oversee the work of the general and sub-contractors during these projects.  Ensure that vendor facilities contracts, quotes, bids and important communications are properly solicited, comparable with the same scope of work, reviewed, signed off, stored on the shared drive and internally and externally communicated to stakeholders.  Ensure all locations are clean and well-maintained.  Perform monthly building inspections and whether outstanding items are to be performed by the local offices or with assistance from the building landlord or Facilities Director. Ensure that all safety/security procedures are followed and working conditions are safe. Provide primary assistance to offices when staff and property are moving into and out of LCSNW leased or owned facilities.  Maintain a shared drive file structure and electronic facilities files for Washington properties for their storage and recovery when needed. Assures routine maintenance performed per vendor maintenance contracts are completed and documented in a timely manner.  Have a customer-service focus when working with LCSNW staff.  Performs other related duties and travel to other agency locations as assigned.   Handyperson Duties Approach each task with a safety-first approach, examining prior to the work performed the best way to prepare for, perform and clean-up after the work to ensure the safety of oneself and for all those who may come near the work area. Address and resolve, as appropriate, all maintenance issues, including but not limited to, electrical, plumbing, carpentry, door hardware, painting, winterizing and other basic maintenance activities performed by oneself or when outsourcing approved, hiring out and supervising a vendor to perform the work. Remove debris and snow/ice from sidewalks.  Assist LCSNW building occupants, if requested, in moving large items weighing up to 40lbs if not an injury risk. Assist offices in other minor handyperson jobs including furniture construction, minor painting and repair projects including the installation of secure shelving or other installed office amenities. SUPERVISORY RESPONSIBILITY:none.  QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.  At least five years of broad-based maintenance responsibility or facilities management experience with basic knowledge of electrical, plumbing, HVAC, security and safety systems.  Basic knowledge of facility construction projects and familiarity with reading architectural drawings.  High level of organization and the ability to complete complex tasks with minimal to no supervision. Ability to respond to emergencies at owned buildings during off hours and be on emergency contact lists for some owned properties.  High-level communication skills, capable of expressing ideas professionally, clearly and concisely in both written and oral formats. Represents the Agency and individual offices in a continuously professional manner with internal and external customers and regulatory and licensing bodies. Working knowledge of Microsoft Suite and Internet search skills required. Comfortable at using computer systems to communicate works status, track work requests and prioritize work, create and save work to digital property folders and have a willingness to learn new computer skills as needed. Employee must have a valid driver’s license and automobile insurance in the State of Washington and submit timely and accurate information to be reimbursed by the Agency for vehicle use EDUCATION and/or EXPERIENCE:   At least five years of broad-based maintenance responsibility or facilities management experience.  Some college experience preferred LANGUAGE SKILLS:Must have excellent communication skills with the ability to read, write, and speak English.  MATHEMATICAL SKILLS:Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY:Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form, although it is expected that the employee will be able to anticipate and initiate activities that are reoccurring. Specific vision abilities required by this job include close vision, peripheral vision, and the ability to adjust focus.
