THE ROLE: The AFP Program Coordinator plays a key role in supporting the Program Director and Supervisors in the day-to-day operations and growth of the AFP programs. This position is responsible for a variety of administrative tasks, including data entry, quality assurance reporting, supply orders, invoicing, and preparing reports. The Program Coordinator also supports logistical needs for programming and proper maintenance and safety of program transportation. This role requires strong organizational, communication, and multitasking skills, with a focus on ensuring the program operates efficiently and meets its goals.
ESSENTIAL JOB FUNCTIONS:
● Assist AFP Program Supervisors and Program Director with a variety of administrative and coordination tasks and support including, but not limited to, data entry, quality assurance reports from program databases, meeting note taking, immunization reporting requirements, Relief Nursery enrollment tracking, supply orders, staff training tracking, invoicing, etc.
● Support in the preparation of monthly, quarterly, and annual reports for AFP Program Leadership
● Support with the coordination of logistical needs of the Parent Education team, Diaper banks, and volunteer projects and needs
● Coordinate and support the oversight of bus maintenance and safety protocols, ensuring maintenance is scheduled and completed, tracking bus maintenance items
● Support McMinnville Site Supervisor and District Operations Manager with the vendor to ensure the facility is cleaned appropriately and on schedule
● Complete monthly credit card reconciliations for the main A Family Place credit card
● Meet regularly with the AFP Program Director for consultation, support, and reflective supervision

● Strong organizational skills with the ability to manage multiple tasks and projects simultaneously; effectively prioritize work responsibilities
● Excellent communication skills, both verbal and written
● Proficiency in computer software applications (e.g., Microsoft Office Suite: Word, Excel, Forms, PowerPoint, One Drive, Teams, etc.) and developing spreadsheets and documents for tracking, program oversight, and quality assurance
● Strong skills and experience with database management

● Ability to read, write and communicate in Spanish is preferred, but not required
EDUCATION and/or EXPERIENCE: A minimum of a high school diploma or equivalent is required. A minimum of two years of experience as a Program Coordinator, Administrative Assistant, or Executive Assistant is required. Experience working in social services settings is required.
