The Administrative Assistant plays a vital role in providing administrative support for the effective implementation and ongoing management of the Foster Care Case Management Program. This position is responsible for ensuring the smooth operation of day-to-day tasks that support program goals.
Key Responsibilities :
- Case Management and Resource Systems : Develop and maintain organized case management and resource filing systems. Ensure all client information is accurately filed and consistently managed, including the preparation of case files for both the opening and closing of cases. Respond promptly to Children’s Division requests, ensuring files are prepared and delivered as needed.
- Data Entry & System Management : Accurately enter case management data into systems such as FACES, CSWIS, and Apricot, and assist with additional computer-related duties as required.
- Team Collaboration & Support : Collaborate with the Program Manager and Director to strengthen the program team by participating in task forces, case management meetings, and other relevant activities. Provide support with program billing, check requests, CD forms, and other administrative paperwork.
- Documentation & Court Calendar : Assist in scanning and uploading essential documentation to electronic case files. Maintain Court Calendar and ensure accuracy of hearings.
- Administrative Support : Provide high-level administrative and secretarial support to the office, including mail collection and distribution, maintaining up-to-date staff contact information, and offering notary services when needed.
- Background Checks : Process and monitor background checks in a timely and efficient manner.
