Patient Care Coordinator (PCC) / Front Office Assistant
Part time starting at: $15 an hour

Luxetone Hearing Studio is currently seeking a Patient Care Coordinator (PCC) in Rockford, IL to assist in driving growth in a competitive market.

We strive to offer only the absolute best, customized care for our patients through in-depth exams & consultations and providing hearing solutions using the latest advanced technology.

Description & Responsibilities:
The ideal candidate for the PCC position will work directly with Luxetone's Clinician to perform certain hearing and hearing aid related services for our patients. The PCC’s primary responsibility is to solicit appointments through telemarketing techniques to continue our rapid growth. The PCC will also provide courteous and professional services to our patients in assisting with their hearing care needs.

As the PCC, you are the first point of contact with our patients and potential new patients. Whether in person or over the phone, you must provide friendly and helpful care with a sincere desire to help our patients. Your main goal is always to ensure a positive patient experience throughout their journey and to help more people hear better. This is achieved by supporting the clinic everyway possible to reach revenue goals by, but not limited to: acquiring new Patients, assisting in daily operations and managing administrative functions, and fostering patient relationships.

Qualifications:
⦁ 2 years office experience is preferred.
⦁ 1 year sales and customer service experience preferred.
⦁ Outbound calling experience preferred.
⦁ Excellent verbal and written communication skills.
⦁ Exceptional professionalism in the workplace.
⦁ Outstanding planning and organizational skills
⦁ Must be proficient with PC, Mac, iOS/Android, docs and spreadsheets.
⦁ Must be self-motivated with a strong work ethic.
⦁ Willing to work flexible hours/days.
⦁ Have an outgoing, friendly, enthusiastic and positive attitude.
⦁ Ability to work independently; time management discipline.
⦁ Willingness to learn - especially new tasks, projects, systems and procedures.
⦁ Strong customer service skills; ability to adapt/respond to different types of patients/personalities.
⦁ Minimum Skills Required: High School Diploma or GED required. Some college preferred.

Daily office responsibilities for PCC (Primary Care Coordinator), including, but not limited to:
⦁ Handling outbound/inbound calls to potential or existing patients to drive clinic revenue generation.
⦁ Scheduling appointments for patients and accurate data entry.
⦁ Educating prospects on the importance of our services.
⦁ Multitasking between multiple websites/systems to maximize productivity efficiently
⦁ Responsible for professionally answering incoming phone calls and messages, as well as, follow-up activities with patients.
⦁ Providing a maximum amount of test opportunities for the office by successfully utilizing the scheduling system.
⦁ Greet all patients and obtain potential referrals. Acquire customer reviews and assist in patient satisfaction.
⦁ Offer a first-class patient experience in-person and via phone.
⦁ Minor hearing aid repairs or cleanings, as needed; offer technical support in-person or via phone.
⦁ Maintaining a minimum number of calls and letters per day.
⦁ Database management; keep patients personal information and insurance & purchase information up to date.
⦁ Assisting the HCP (Hearing Care Provider) in processing orders.
⦁ Maintaining Accounts Receivable, manage credit transactions & petty cash balance, and patient financing.
⦁ Conduct credit application calls with vendors as needed.
⦁ Verifying patient eligibility with insurance companies to determine specific coverage for patient. Managing insurance benefits for patients, submit insurance claims, and process until claim is funded.
⦁ Understanding current HIPAA laws.
⦁ Maintaining a clean, organized and welcoming office environment. Keep the office "patient-ready" at all times.
⦁ Working directly with the HCP (Hearing Care Provider) in offering an unsurpassed patient journey and experience.
⦁ Actively call current, past and potential patients through identified sources. Track and report appointment results.
⦁ Cooperatively develop local marketing campaigns and sales activities with the HCP, including finding new channels for building community relationships and referrals. Understand current marketing promotions.
⦁ Process and document clinic forms accurately to ensure HIPAA and State law compliance (i.e., patient records, financial forms, and insurance contracts).
⦁ Managing all inventory, order office supplies and manage stock levels.
⦁ Submitting weekly/monthly sales reports to management.
⦁ Packaging and shipping repairs, supplies, ear molds, batteries, etc. to manufacturers & to customers.
