Job Description:
As a Front Desk Receptionist at Luxury Collision Group, you will be the first point of contact for our customers, offering outstanding customer service and administrative support. You will be responsible for greeting and assisting guests, managing phone calls, handling scheduling, and ensuring the smooth operation of the office. The ideal candidate should have strong communication skills, excellent multitasking abilities, and previous experience in a receptionist or administrative role.
Key Responsibilities:
- Greet and welcome visitors in a friendly, professional manner
- Answer and direct phone calls using a multi-line system
- Manage company calendar, schedule appointments, and assist with coordination
- Perform general administrative tasks (data entry, filing, etc.)
- Assist with office management duties to ensure smooth operations
- Communicate effectively with guests, insurance companies, and staff
- Process vehicle pick-up, repair orders, invoicing, and rental vehicle coordination
- Maintain organized customer records in the system (Shopman/other)
- Educate customers on repair processes, insurance claims, and warranty details
- Perform follow-up sales calls and maintain a professional front office environment
Required Experience & Skills:
- Strong organizational skills and attention to detail
- Previous receptionist experience is preferred
- Knowledge of QuickBooks and/or Shopman program is advantageous
- High school diploma or equivalent required; college degree preferred
- Ability to multitask effectively and work well in a fast-paced environment
- Valid driver’s license and insurable driving record
- Excellent communication and negotiation skills
Additional Responsibilities:
- Schedule and record appointments for estimates and repairs
- Collect payments and manage repair order paperwork
- Maintain an organized reception area and ensure a welcoming environment for all guests
- Provide rental vehicle coordination and inventory management
- Ensure timely follow-up on unsold estimates
- Attend daily meetings and other duties as assigned
