ABOUT THIS ROLE

This is a hands-on position focused on managing event-related inventory, shipping / receiving, and logistical support for marketing events. The Event Warehouse & Logistics Coordinator will oversee the organization, preparation, and transportation of booth assets, swag, collateral, and other event materials to ensure seamless execution of trade shows and marketing activations. They will be responsible for tracking inventory, coordinating shipments, maintaining the event warehouse, and ensuring all materials are event-ready. This role also involves occasional local travel to deliver and set up event materials, requiring a proactive problem-solver with strong organizational skills and the ability to work independently. The ideal candidate is highly self-motivated, adaptable, and eager to take ownership of processes that enhance overall event efficiency.

RESPONSIBILITIES

  • Manage event inventory including booth assets, swag, collateral, and shipping materials to ensure all event needs are met.
  • Conduct regular inventory assessments , ensuring all event materials are accounted for, in good condition, and properly stored. Identify and report any shortages or damaged assets for replacement.
  • Coordinate inbound and outbound shipments , ensuring timely and secure transportation of event materials while maintaining accurate records.
  • Prepare and maintain event materials by inspecting, cleaning, and repairing booth properties, signage, and other assets before and after each event.
  • Oversee warehouse organization and operations , ensuring a clean, efficient workspace and implementing inventory tracking improvements.
  • Assist with event logistics , including transporting and setting up marketing booths, mobile units, tables, and chairs for local events.
  • Operate and maintain warehouse equipment , including forklifts, to safely move and load event materials.
  • Collaborate with logistics partners and internal teams to streamline processes, troubleshoot issues, and contribute to cost-effective event execution.

QUALIFICATIONS

  • Must have a valid driver's license and reliable transportation for local event support.
  • Forklift certification (or willingness to obtain, with company support).
  • Experience in warehouse operations, logistics, or event inventory management preferred.
  • Ability to lift, stand, and move for extended periods.
  • Strong problem-solving skills with a proactive, self-motivated approach to work.Comfortable working independently and managing tasks without constant oversight.
  • Basic handyman skills to maintain and repair event assets (e.g., TV brackets, touch-up painting).
  • Bonus : Experience with event setup, shipping coordination, or trade show logistics.
