Job Summary:
The General Affairs Administrator plays a key role in supporting day-to-day operations by handling a variety of administrative tasks. This role requires a highly motivated individual with excellent communication skills and the ability to thrive in a fast-paced environment. The position encompasses both administrative and HR functions, as well as procurement and expense management, ensuring smooth operations across multiple departments.
Key Responsibilities:
1. Administrative Support:
- Provide administrative support to the HR department, including maintaining employee files, conducting new hire orientation, and administering benefits.
- Assist with the recruitment and hiring process, including posting job openings, scheduling interviews, and conducting background checks.
- Maintain accurate and up-to-date employee data in the system.
- · Monitor and verify employee timecards using ADP, ensuring accuracy and timeliness.

- Assist with other HR-related tasks or projects as needed, including organizing meetings and events.
2. Warehouse & General Affairs Support:
- Provide general administrative support to the warehouse facility, including answering phones, filing, and data entry.
- Process invoices and purchase orders in a timely and accurate manner.
- Maintain detailed filing systems for HR, safety, and warehouse-related documents.
- Manage office supplies and inventory, ordering new supplies as needed, and assist with purchasing for the warehouse facility.
- Assist with locating key suppliers, negotiating purchase agreements, and handling cost-related items such as invoices and payments.
- Manage the front desk and provide general office support, including greeting visitors, answering phones, and managing incoming and outgoing mail.
3. Procurement & Financial Management:
- Assist in managing procurement processes, including handling purchase orders, vendor management, supply usage tracking, and invoice management.
- Collect and analyze financial data, estimate costs by comparing budgets with actual expenses, and support monthly reporting and month-end closing preparation.
- Assist with sales transaction invoices and maintain communication with outside vendors regarding daily purchase order status.
- Assist in managing inventory and overseeing the timely procurement of goods and services for both warehouse and office operations.
4. Reports & Data Management:
- Prepare and submit Yard Status reports, Hour Validation reports, and Putaway reports, ensuring the accuracy of inventory and attendance-related data.
- Collect, analyze, and enter data into systems to support reporting and decision-making processes.
- Assist with generating various internal reports and managing data entry tasks.
5. Special Projects & General Administrative Duties:
- Organize and schedule meetings, including sending out invitations and preparing materials.
- Assist with special projects and events as needed to support the operations of both HR and the warehouse facility.
- Perform other administrative duties as assigned to ensure efficient operations.
Required Skills & Qualifications:
- Strong organizational, time management, and multitasking skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Attention to detail and accuracy in reporting and data entry.
- Ability to handle confidential information with discretion and professionalism.
- Good communication skills and the ability to work in a team environment.
- Strong problem-solving skills with the ability to address discrepancies or issues efficiently.
Education Requirements:
- Required: High School Graduate or equivalent.
- Preferred: Bachelor’s degree in business administration or related field.
Experience Requirements:
- Required: 1 year of administrative work experience.
- Preferred: 1 year of experience in a logistics setting, involving tasks such as inventory management, procurement, or reporting related to logistics operations.
