BASIC FUNCTION:

Under the direction of an assigned supervisor or administrator, perform moderate and complex budget, accounting, and attendance functions, including the preparation of various mandated financial reports; perform analysis of data relevant to the responsibility of the position to provide recommendations to administrators; assist in training personnel.



REPRESENTATIVE DUTIES:

The duties listed below are just the essential duties of this class.   • Routinely, accurately, and efficiently completes difficult and complex accounting tasks, such as, but not limited to, reviewing, monitoring, preparing, developing and auditing budgets, accounting and budget records for various District funds, including encumbrances, invoices, warrants, current liabilities, cost transfer, budget transfers, and related transactions to ensure accurate information and calculations.
  • Prepares journal entries and periodic reconciliation of general ledger; analyzes and prepares reports of financial conditions of different funds.
  • Prepares, interprets, and analyzes various complex budget and fiscal reports; makes financial recommendations to supervisors; assists in developing projections for District fiscal needs.
  • Maintains and reviews fixed assets and other special funds budget and accounting transactions.
  • Monitors and audits District funds and accounts; assists external auditors as needed during audit reviews.
  • Complies, organizes, and computes attendance data to prepare a variety of reports related to school district attendance, enrollment, and class size; prepares ADA, enrollment, and other special attendance reports while meeting all required deadlines.
  • Visits school sites to compute and verify attendance data on state school registers through use of a private vehicle.
  • Sets up system controls and internal auditing procedures, that are routinely used to ensure that attendance procedures are accurately implemented and efficient and to ensure that attendance data is accurate and robust on a daily basis; verifies the accuracy of all absence notes; verifies that all school sites are using correct attendance procedures; confers with relevant District personnel regarding attendance procedures to reconcile accounting discrepancies, and standardize District attendance accounting procedures; immediately reports all deficiencies to the assigned administrator for corrective actions and procedures.
  • Continuously advises and informs all relevant district and site administrators of any attendance and enrollment issues immediately as the issues arise.
  • Trains and provides work guidance to support staff within the District so that all individuals performing attendance related duties are performing these duties accurately and in accord with District procedures.
  • Provides attendance and enrollment data as needed upon request by District administrators.
  • Assists in assuring that attendance data collection and reporting methods are compliant with the law.
  • Regularly communicates with county and state personnel as needed pertaining to attendance, budget, accounting, and other related duties.
  • Assists in the formulation, revision, and implementation of computerized record keeping systems.
  • Operates a computer, assigned software and peripheral equipment at a proficient level to record information and generate lists, reports and other materials.
  • Attends and participate in a variety of in-service trainings and meetings, which may extend beyond normal work hours.
  • Performs all duties in a discrete and confidential manner; refrains from providing any sensitive information without administrator authorization.
  • Actively analyzes skills in all assigned area to continuously improve and remain current with all modern office procedures.
  • Analyzes office processes and recommends new ideas and procedures to improve efficiency, on a continuing basis.
  • Performs other related duties as directed.



INITIAL/MINIMUM QUALIFICATIONS:

EDUCATION AND EXPERIENCE:
1.     High School Diploma (or GED equivalent).
2.     Graduation from a recognized college or university with a major in business, business administration, economics, accounting, or closely related field. Five years of increasingly responsible and complex accounting and budgeting experience may be substituted for a college degree.
3.     Three years of increasingly responsible and complex accounting and budgeting experience, preferably in a K-12 public educational setting.
4.     Proficient computer experience is required, including word processing, spreadsheets and database management.
5.     Some college-level course work beyond that of a four-year degree, trainings, or certifications directly relevant to the job is desirable and preference consideration may be rewarded to applicants demonstrating this education and continuous learning.  

 LICENSES AND OTHER REQUIREMENTS:
1)     Valid Class C Driver’s license & availability of private transportation. 
2)    Pass all job-related test parts.

EDUCATION AND EXPERIENCE: • Bachelor's degree in a job related field. • Five (5) years of experience in a job-related field, which includes one (1) year of supervisory experience. • Any other combination of education, training, and experience, which demonstrates that the applicant is likely to possess the required skills, knowledge, or abilities, may be considered.
