Our company is seeking an enthusiastic and organized Event Coordinator to join our team! This position plays a vital role in creating unforgettable experiences for our clients by guiding them through every step of the event process—from the first tour to the final send-off. The ideal candidate is personable, detail-oriented, and passionate about weddings and special events.
Key Responsibilities:
Client Relations:
- Conduct tours of the venue for potential clients, highlighting features and answering questions.
- Serve as the main point of contact for clients during the planning process and on the day of the event.
- Assist clients in understanding venue policies, rental agreements, and layout options.
Vendor Coordination:
- Liaise with external vendors to confirm deliveries, setup times, and service details.
- Oversee vendor access, compliance with venue rules, and timely execution of services.
- Maintain an updated list of preferred vendors and build strong working relationships.
Event Oversight:
- Supervise events onsite to ensure a seamless experience from setup to teardown.
- Monitor safety protocols and ensure all guests and vendors comply with venue policies.
- Be proactive in resolving any issues that arise during events with professionalism and grace.
Marketing & Social Media:
- Create and manage engaging content across social media platforms (Instagram, Facebook, TikTok, etc.).
- Promote upcoming events, open houses, and venue features to increase brand visibility.
- Maintain a cohesive visual aesthetic and voice for the venue’s online presence.
Administrative & Miscellaneous:
- Maintain event calendars, booking systems, and client files.
- Assist with post-event clean-up coordination and inventory checks.
- Represent the venue at bridal shows or community networking events when needed.
Qualifications:
- Previous experience in event coordination, hospitality, or a related field preferred.
- Strong communication and customer service skills.
- Excellent organizational and multitasking abilities.
- Proficient with social media platforms and basic content creation tools (e.g., Canva).
- Ability to work evenings, weekends, and holidays as required by event schedules.
- Physically able to walk the property, stand for long periods, and assist with light setup tasks.
