Job Description - Medical Assistant (MA)

Classification FSLA - Non Exempt – hourly


Salary Grade/Level/Range

Level of experience, longevity, certification, within company pay structure $20-$25/hour


Reports to Physician(s) as assigned and Operations Coordinator


Summary/Objective

Assist Physicians and patients with basic medical needs in preparation for examination by Physician.


Work Environment

This job operates in a medical office facility. This role routinely uses standard medical equipment, office equipment such as computers, phones, blood pressure monitors, thermometers, scales, photocopiers, filing cabinets and fax machines.

Essential Functions

Polite, sensitive to people, compassionate, ethical conduct, annunciation, communication, critical thinking skills, proficiency which includes reading, writing and active listening skills.

Excellent problem-solving skills. Implement 3 step process: identity problem, discuss possible solutions and then apply best solution. This position may create periods of stress and good attendance is mandatory essential job function.

Review physician schedule to ensure coordination of patients’ needs and necessity of appointment. If questions arise after reviewing appointment schedule, discuss with Physician to ensure accuracy of next steps.

Show patients to examination rooms and conduct interview with patients (based on direction from the physician) to obtain medical information and measure their vital signs, weight, and height. Update chart as needed with current vital statistics and any changes in condition, allergies, etc.

Maintain HIPAA compliance regarding patient information, testing, prescriptions, medical information and documentation. Ensure Greenway contains all pertinent information and is up to date. Daily emptying of personal recycle bins into HIPAA approved Shred-IT bins to comply with HIPAA compliance.


Maintain work area free of ePHI to ensure HIPAA compliance.

Must arrive at least 15 minutes before the first patient is scheduled for the day.

Assist Physicians with examination and treatment, providing additional materials as needed.

Explain treatment procedures, medications, diets and physicians' instructions to patients.

Consult with patients’ insurance carrier to obtain pre-authorization for drug refills, testing. Once obtained provide prescription information to pharmacies, via fax or escribe or schedule appointment for testing.

Apply knowledge of sterile techniques and OSHA regulations.

Clean and sterilize instruments and dispose of contaminated supplies.

Oversee and ensure efficient turnover of exam rooms, keeping the rooms neat and clean.

Schedule appointments for patients and return with an appointment confirmation for patient.

Contact medical facilities or departments to schedule patients for tests and/or admission, pre authorization for additional tests, if utilizing outside services.

Perform general office duties such as answering telephones, faxing and scanning.

Re-Stock exam/treatment rooms, as well as clean on a daily and weekly basis. This includes but not limited to wipe table, desk, chairs and other areas in the room.

Inventory and order medical, lab, office supplies and equipment.

Collaborate with coworkers and undergo necessary orientation to ensure a smooth workflow.

Maintain a courteous and professional demeanor with patients, providers, and colleagues.

Communicate effectively with providers to facilitate optimal patient care.

Notify providers, coworkers, and leadership when leaving the area or departing early.

Retrieve patients from the lobby promptly and escort them to exam rooms.

Accurately record and document vital signs.

Assist patients in scheduling appointments and necessary testing.

Thoroughly review and update medication lists with patients.

Obtain prior testing and hospitalization records for follow-up visits.

Review previous patient orders and confirm test results in the chart.

Promptly inform the provider of abnormal blood pressure readings.

Reassess and verify any abnormal vital signs.

Address tasks, voicemails, and faxes efficiently and in a timely manner.

Ensure the patient’s preferred pharmacy is accurately documented.

Utilize tracking systems properly to alert providers when a patient is ready.

Task the appropriate departments regarding required testing and procedures, including pain procedures, lumbar punctures, toxin treatments, and infusions.

Complete paperwork and prior authorizations in a timely manner to prevent delays in patient care.

Physical Demands

This position requires the ability to lift files, open filing cabinets and bend or stand as necessary, assist patient with walking, standing, or accessing exam table.

Position Type/Expected Hours of Work

This is a full-time or part time position. Days and hours of work are Monday through Friday. Evening and weekend work may be required as job duties demand.

Travel
Potential travel to satellite offices.

Required Education and Experience

Related responsibilities, minimum experience of 1 – 2 years previously held medical assistant position. Certification preferred, but not required. Will require new hire to shadow current M.A. for a period of 30-60 days.
