Position Title: APP Coordinator
Department: Administration
Reports To: Lead APP
Position Overview:
The APP Coordinator is responsible for managing the scheduling, rescheduling, and coordination of Advanced Practice Providers (APPs) within the healthcare system. This role involves assisting with administrative tasks outlined by the Lead APP and ensuring that patient care is managed appropriately with close follow-up and collaboration with other departments to meet the needs of the practice.
Key Responsibilities:
APP Scheduling & Coordination:
Manage and coordinate the daily, weekly, and monthly schedules for all APPs, ensuring appropriate staffing levels.
Reschedule appointments and shifts as necessary to accommodate changes in availability or coverage needs.
Handle sick call-ins and coordinate coverage for missed shifts to ensure continuity of care.
Ensure the schedules are updated and communicated in a timely manner to all relevant stakeholders.
Administrative Assistance:
Provide administrative support to the Lead APP in managing the workflow of the APP team.
Assist with tracking and reporting APP hours, attendance, and time off.
Help with documentation, maintain records, and ensuring compliance with internal policies and procedures.
Assist with onboarding new APPs by preparing orientation materials, scheduling training, and facilitating necessary introductions.
Patient Care Management:
Ensure that patient care is provided in an efficient, high-quality manner by coordinating with APPs, physicians, nurses, and other healthcare staff.
Follow up with patients to ensure appropriate care is being provided, addressing any concerns or needs.
Monitor and assist with patient referrals to other departments or specialists, ensuring timely follow-ups and continuity of care.
Collaboration with Other Departments:
Facilitate effective communication between APPs and other healthcare departments to ensure comprehensive patient care.
Collaborate with nursing, administration, and other clinical teams to ensure smooth workflow and patient management.
Work with the Lead APP to develop strategies for improving coordination and efficiency across departments.
Problem Solving & Support:
Address any scheduling conflicts, patient care concerns, or issues arising with staffing.
Act as a resource for APPs, providing guidance and assistance as needed.
Ensure a positive, supportive work environment for all APPs, contributing to team cohesion and morale.
Compliance & Quality Assurance:
Help ensure that all APP-related activities comply with regulatory standards, institutional policies, and procedures.
Assist in the review and improvement of care processes, supporting quality assurance initiatives.
Stay updated on any changes in healthcare regulations or protocols that may affect APP operations.
Additional Duties as Assigned:
Provide support in other areas as needed, including special projects or initiatives led by the Lead APP or other healthcare leaders.
Participate in departmental meetings and provide input on improving APP workflows and patient care strategies.
Education:
High School Diploma or equivalent required.
Experience:
Some medical background experience is preferred, especially in healthcare or administrative support roles.
Pay Range:
Starting at $20/hour.
