Job DescriptionM&J is currently seeking an Executive Assistant/Office manager assigned to our Head Office at New Hyde Park, NY.  The successful candidate will provide high level operational and administrative support to a Senior Vice President and be instrumental in making sure everything in the office runs smoothly daily, which means ensuring office equipment is maintained, office supplies are ordered and available for use and all calls are answered, whilst carrying out several administrative jobs and providing support to all departments. The Office Manager will also meet and greet visitors so being personable and well-presented is a must. The Office Manager needs to be highly organized and self-motivated and have excellent attention to detail.

Responsibilities

Responsibilities

  • Maintain DBE and MBE Certs for all states.
  • Maintaining New York and New Jersey company book, meeting minutes.
  • Ordering of all supplies for office and kitchen NY, other offices as needed.
  • Assist with supply orders, field equipment orders, and promotional item orders.
  • Handling incoming and outgoing mail.
  • Unpacking office supplies.
  • FedEx/UPS/USPS.
  • Creating folders and labeling them.
  • Various miscellaneous administrative tasks.
  • Coordinate and register employees for conferences, seminars, events, and trainings.
  • Certificates of Insurances for projects.
  • Responsible for the input of information, as well as uploading documents, on various agency portals.
  • Sub-contractor documents and agreements, forms, certifications, resumes, and letters.

Qualifications

  • Notary License is preferred but not required.
  • Microsoft Office and Adobe is required.
  • Bachelor’s degree in related field preferred.
  • Prior related office experience preferred but not required.
