SUMMARY:
Sales Coordinator at Holiday Inn Times Square
Pay Range: $22-$25 per hour
Support Sales Department in assisting and maintaining corporate accounts, group clients, and meeting facilities. This position is designed to provide the highest level of customer satisfaction and support to external clients and internal partners. This position serves as a liaison between the Sales and other departments at the hotel.
RESPONSIBILITIES:
- Be one of the first points of contact for incoming sales calls, and respond in a quick, timely, and professional manner to all internal partners and external customers. Deliver clear and concise communiqué that is representative of M&R via all avenues of communication.
- Demonstrate excellent time management, self-motivation and proactive planning, and endeavor to be organizationally savvy with a keen focus on detail.
- Work diligently to complete assigned tasks and responsibilities (i.e. including but not limited to assisting with or the management of room blocks, select reporting, client notification of key dates such as cut-off or payment schedule deadlines, group resumes, event orders and BEO’s, billing details, and other integral administrative aspects of the booking or execution of groups and events).
- Complete or assist with various aspects of pre-event, main event, and post-event details: Track, detail, and communicate with internal partners and external clients about the particulars of each assigned event and group.
- As needed, gain knowledge of hotel’s food and beverage products, pricing, presentation, and learn about both hotels’ function space, audio visual, and any other details related to group and event success.
- Learn and use digital sales systems and conceptual sales processes (i.e. Delphi and Opera PMS, and understand hotel’s sales strategies (i.e. rates, fees, budgeted goals, etc.). Implement these tools and resources to accomplish individual and team goals and efficiently complete job duties.
- Prepare for, participate in, and report out at all necessary internal meetings, conference calls, reporting, planning, training, and other communications required for this position.
- Endeavor to work in a unified and collaborative way -- one that fosters teamwork -- and embody an entrepreneurial spirit that enables one to make the best possible decisions for hotel and achieve the team’s overall goals.
- Monitor commissions and provide monthly report to accounting.
- Create and manage Company and Travel Agent profiles on the property management system.
- Review sales contracts as well as other important information, i.e., room block, cutoff date, special concessions, and attrition clauses and validate. Monitor and enforce program deadline dates and work with clients to release meeting space not needed to maximize hotel revenues.
- Produce and distribute Group/Meeting resumes two weeks prior to first day of group arrival and communicate any changes and updated information to hotel departments.
- Accurately forecast group rooms and group food and beverage revenues for assigned groups and affiliate business within a 5% variance.
- Perform other duties as assigned by Management at both properties, of which employee is capable of performing.
- Sends hotel information to guests that inquire about the property. Works with clients to functions. Sends group room contracts to clients in a timely manner (within 8 hours of call) and follows up to ensure that they are returned to the hotel on-time.
