- Proactively develops and manages relationships with external (e.g., tenants, vendors, local authorities) and internal (e.g., regional and on-site property and maintenance management, corporate) stakeholders. As the primary point of contact at the assigned commercial property, interacts with commercial tenants to address questions, concerns, and requests. Obtains guidance from and/or escalates issues to corporate commercial operations management as needed.
- In collaboration with the corporate commercial management, establishes and monitors the budget of the assigned commercial property regularly in accordance with established goals; keeps expenses in line with the budget. Ensures that all applicable deposits, rents, and other fees and ancillary revenues are collected. Submits invoices and all other accounting activities to the Accounts Payable Department for processing. Purchases necessary equipment and supplies for the commercial property.
- Assists with the preparation and implementation of annual budget for the assigned commercial property, including income and expenses, in collaboration with corporate commercial operations management.
- Work directly with the Accounting Department on financial questions regarding monthly variance reports; works with Commercial Lease Administrator in billing and collecting rents and other charges due under commercial leases.
- Performs annual reconciliation of common area maintenance (CAM), real estate taxes (RET) and insurance charges for assigned commercial properties.
- Works with the on-site service teams to manage property maintenance programs to ensure prompt and courteous responses to maintenance requests and property appearance which meets or exceeds standards.
- Inspects the property regularly for quality and to assess and identify needs for improvement. Monitors, inspects, and assesses the property landscape and other attributes to identify and address potential safety hazards and concerns and to ensure quality property aesthetics.
- Participates in monthly reporting of maintenance and operational items for projects for each assigned commercial property.
- Collaborates directly with corporate commercial management to propose and implement annual and long term operations and maintenance programs to maintain assets in first-class condition and appearance and also to minimize long-term costs to MAA.
- Qualifies potential vendors to perform services related to the operation, repair and maintenance of commercial project components for an assigned commercial property, either separately or as part of an allocated service for the entire property, in collaboration with corporate commercial management.
- Interprets and enforces commercial leases in consultation with corporate commercial operations management, and the Legal Department. Assists with the enforcement of policies, procedures and regulations governing the space allocation to tenants for build-out of tenant improvements, all work performed by tenants and the conduct of tenant contractors on-site.
- Performs other related duties as assigned to meet the needs of the business.
- High school diploma/GED and three to five years of commercial office property management experience required, or an equivalent combination of experience and education
- Valid driver’s license from the state of residence required
- Accredited Commercial Manager (ACM) and/or Certified Property Manager (CPM) credential preferred
- Bachelor’s degree preferred
- Mixed use property experience preferred
- Understanding of lease agreements and lease terms for commercial real estate
- Business and financial acumen to manage and control expenses and interpret financial reports, including variance of actual vs. budget, CAM reconciliations, etc.
- Customer service orientation to anticipate needs and issues, respond effectively and efficiently, and resolve conflicts diplomatically
- Supervisory and leadership skills to delegate and manage the performance of others, including coaching, counseling, and development
- Knowledge and skills to manage projects, organize, prioritize, and meet deadlines
- Ability to visually inspect units, grounds, and other aspects of the property to determine adherence to standards
- Skill and ability to clearly and concisely communicate verbally and in writing
- Critical thinking and problem-solving skills
- Computer skills with property management (e.g., Yardi, MRI) and service management (e.g., Angus Anywhere) applications
- Computer skills with Microsoft Office applications (Word, Excel, Outlook and PowerPoint)
- Ability to travel up to 20% for property visits and meetings
- Ability to maintain confidentiality and maintain appropriate discretion
