Hours: Full-time; Monday - Friday, 8:30am - 5:00pm

Position DescriptionAs a member of the Project Development team, the Project Management (PM) Administrator will play a crucial role in supporting the efficient functioning of our organization by providing comprehensive administrative and clerical support to our Project Management team. The successful candidate will be responsible for managing day-to-day admin tasks such as file organization, document control, contract drafting, communications with internal and external parties, purchase order generation and processing, and assisting with additional aspects of our projects. This role requires a proactive and organized individual who can manage multiple priorities and work collaboratively with team members.
Responsibilities
Assist the Project Development team with administrative tasks throughout the project’s lifecycle.
Serve as the primary point of contact for internal and external communications as they relate to administrative tasks.
Maintain accurate and up-to-date records, databases, and filing systems.
Drafting and processing of contracts, purchase orders, reports, correspondence, and invoices with an understanding of tax requirements and exemptions.
Perform data entry tasks with a high level of accuracy and attention to detail.
Respond to emails, phone calls, and inquiries in a professional and timely manner.
Coordinate efficiently with the team and any third-party contractors or consultants.
Organize and schedule meetings, including preparing agendas and taking minutes as needed.
Proactively achieve tasks assigned and estimate effort required for each task.
Qualifications & Skills
Proficiency with Microsoft Office Suite and Adobe Acrobat.
Microsoft Excel experience is preferred.
Detail-oriented and highly organized.
Self-motivated and forward moving.
Quick learner.
Strong critical thinking and problem-solving skills.
Excellent written and verbal communication abilities.
Strong interpersonal skills and a positive, team-oriented attitude.
Must be proficient in English.
