What are the responsibilities and job description for the Assistant Program Director position at MAB Community Services?
SUMMARY:
Under the supervision of the Program Director, the Assistant Program Director supports day to day operations of the statewide vocational program. The APD performs both participant facing and administrative tasks as needed by the program. The APD oversees referrals, assists the PD in building a regional schedule and is part of the onboarding and training of new employment specialist. Additionally, the APD will work 1:1 with participants where needed to support program growth, fill a vacancy and job develop in communities.
Staff and Team Leadership: provide clear and effective leadership and supervision to support and strengthen staff in their roles within the MAB community Personnel: · Support all aspects of recruiting, interviewing and onboarding all employment specialists for statewide placements. · Develop and implement staff schedules. · Assist in the accurate and timely completion of payroll & attendance records. · Provide training and electronic access for staff to ensure efficient and effective implementation of policies and procedures in written communication logs and via all technology tools (Share Point). · Conduct and follow up on annual staff evaluations. · Provide on-call support as part of the Day Services on call rotation team. Supervision:
· Provide 1:1 supervision with each staff member on a bi-weekly or weekly basis as needed and follow up, as necessary. · Attend and participate in all meetings as directed including the monthly staff and team meetings; meetings with the Director of Day Services and follow up with staff, as necessary. · Provide ongoing supervision and guidance in the moment for staff. · Participate in crisis intervention and provide on-call back up as needed. Quality Assurance: Manage day to day program functions while ensuring that the medical, financial, and clinical protocols are followed. Operations: · Provide transportation as needed and ensure that all employment specialists are able to transport their participants to and from community activities and employment opportunities. · Organize, update, and maintain training binder including training logs. Compliance: · Ensure all data required for billing is collected on a monthly basis and reported to the finance office in a timely manner. · Report concerns, changes and/or discrepancies to the Program Director and Director of Day Services. · Develop and supervise an overall schedule which considers participant choices, staff availability and participant employment and volunteer opportunities. Person Centered Planning: · Model appropriate, respectful, and healthy behavior and relationships with staff and participants. · Build and sustain an environment that supports and facilitates participants’ choices, interests, skills and needs.
· Anticipate, prepare for, attend, and follow up as necessary from Case Review meetings, Quarterly Reviews and ISPs; including but not limited to data collection, progress notes and assessments. · Advocate for participants to ensure their high quality of life. · Participate, and sometimes lead the assessment process for potential new participants. Work with participants, program staff and therapists to determine a schedule of activities that provides a rich and rewarding experience for participants while maintaining the program philosophy of person-centered planning. · Work with program staff to develop a dynamic and evolving range of Pre-Vocational and Vocational activities for participants to engage in. · Work with participants and staff to maximize participation in the program by offering participants different eligible services and additional time slots as appropriate. Community Partnerships: Build and support relationships within MAB and with external community stakeholders. · Establish regular contact with participants’ care team and family members as outlined in the ISP. · Build and foster appropriate relationships with MAB colleagues, participants, and community partners, including building neighbors, medical partners and others in the community who may support the MAB community and participants. · Develop relationships with partners to provide participants with activities and services within and outside the center. These partners may include, but are not limited to employers, banks, medical providers, stores, restaurants, art classes, gymnasiums, volunteer opportunities. · Foster relationships with potential local volunteer and employment settings to increase participants community paid employment opportunities. Qualifications
· Strong interpersonal and communication skills that foster healthy relationships with MAB participants and employees. · Analytical reader/thinker who can understand and implement state regulations and various record keeping systems in both writing and on the computer. · Team player who can give and receive productive direction, use creative problem solving strategies, and provide effective leadership while motivating participants and staff. · Bachelor’s Degree preferred and/or 2 years of employment services. · Demonstrated supervisory skills and experience are required. · Comfort with computers and ability to learn new reporting software. · Valid MA driver’s license and ability to drive program vehicles and wheelchair vans to transport participants to appointments, day programs, recreational activities, etc. Must be able to drive for extended periods of time and on highways as needed. · MAB will assist employee with obtaining required MAP Certification, CPR and First Aid certificates if applicant does not have them when hired.
