POSITION SUMMARY : Provides administrative support to the company operations. Individual maintains a professional and pleasant demeanor in dealing with external and internal clients and maintains confidentiality of all corporate matters. Responsibilities in this role will require rotation of both front office and back-office duties. Collaboration with the administrative team is crucial to the success of the position.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

  • Greets visitors to the facility, manages distributing and retrieving visitor badges, Maintains the visitor log and assures facility access procedure is followed. Daily inventory of visitor badges.
  • Screens incoming calls and forwards to the correct individuals as appropriate. Sends faxes, makes photocopies, and assists with filing as requested.
  • Responsible for keeping office supplies in a reasonable and organized fashion and maintaining an inventory log to prevent outages. Maintains a clean and welcoming appearance of the office. Ensures meeting rooms are clean and ready for meetings.
  • Organize all aspects of corporate employee appreciation and social events. Attendance at events is mandatory to ensure event success. Assist with maintaining corporate calendar, professional communication to staff on event details, as well as updates to Intranet SharePoint events page.
  • Organize meetings in a collaborative effort with meeting host(s), placing orders for catered meetings. Set up and cleanup of catered meetings and events. Provide administrative support in preparing meeting materials.
  • Performs routine, basic administrative functions-including preparing reports and documents. This may also include administrative duties to support additional departments within the company.
  • Performs delegated duties such as review of vendor invoices, expense documents.
  • Performs other duties and as assigned.

  • Dependability : Consistently on time and at work, responds to management expectations and solicits feedback to improve performance.
  • Safety culture : Observes safety and security procedures and uses equipment and materials properly.
  • Quality Assurance : Commits to the understanding and implementation of quality assurance regulations, standards and guidelines of 10 CFR 50 Appendix B, 10 CFR 21, and NQA-1.
  • MINIMUM SKILLS, QUALIFICATIONS AND ABILITIES :

  • Education : A minimum of High School diploma is required. Associates degree preferred or equivalent experience.
  • Experience : Minimum of one year experience as an administrative assistant or receptionist, preferably in an engineering or technical field is required. Strong skills in MS office suite, primarily Outlook.
  • Industry Requirements : Eligible to work under Department of Energy 10 CFR Part 810.

  • Ability to understand and communicate clearly using a phone, personal interaction, and computers.

  • The employee frequently is required; to sit and stand; walk; bend, use hands to operate office equipment; and reach with hands and arms. Ability to lift up to 15 lbs.
  • Ability to travel using common forms of transportation.
