Who You Are :
The Executive Assistant will support our Research team leads and is a unique role within Ai2's org structure. This role will encompass Executive Assistant responsibilities. Reporting to a cross-functional team of three Research Directors, this role provides support and continuity allowing leads to focus on other core duties.
Your Next Challenge :
The essential functions include, but are not limited to the following :
- Provide executive support to multiple technical research leads across Ai2.
- Schedule and manage : team meetings / agendas, reading groups, invited speakers, resource bookings, intern proposals and timelines, etc.
- Meetings, events, and travel organization and support
- Gatekeep on behalf of multiple executives with competing priorities.
- Partner with other EAs to adopt best practices across the organization to break down silos.
- Plan team events (e.g., offsites, social gatherings, etc.)
- Manage directors calendars, as needed, including university calendars for leads who are professors.
- Expense reporting, reimbursements
- Organization of administrative documents
- Correspondence and letter writing / submission support
- Oversee the job application review process and recommend improvements, as needed
