Mackay is currently seeking an individual with strong administrative, organizational, and communication skills to work onsite in our corporate office in Raleigh, NC to fill our full-time Factory Training Enrollment Coordinator opening.
Factory Training Enrollment Coordinator Job Summary:
The Factory Training Enrollment Coordinator is responsible for obtaining, recording, and distributing OEM factory training class details to our managers globally and any fact-based criteria that may helpful to them when selecting who will attend. The Factory Training Enrollment Coordinator is responsible for managing the enrollment process, collecting and providing any required documentation, as well as making or identifying cost effective travel, transportation, and accommodation plans or options. The Factory Training Enrollment Coordinator maintains highly detailed records by manufacturer on each of the classes offered, attendees, certifications, and all related expenses.
Factory Training Enrollment Coordinator Responsibilities:
1. Interfaces with our OEMs to obtain and record the details of each factory training class offered by each manufacturer, on what equipment, location/dates/times of classes, and number of seats awarded.
2. Circulates factory training schedules to all our managers globally and follows up to obtain a list of the technicians selected to attend the various classes.
3. Communicate through emails weekly, or as often as necessary to keep current on all training schedules and changes.
4. Will manage class enrollments by promptly providing each OEM the names of the technician(s) who will attending, for each of the classes offered. The Factory Training Enrollment Coordinator will provide any required identification or prerequisites, secure any travel visas, and update the various training class spreadsheets accordingly.
5. Will coordinate and provide flight, transportation, and accommodation options to our technicians attending the various classes based on their location well in advance to ensure arrangements are made in timely and most cost-efficient manner. Will provide all attending technicians and their supervisors with all details of the class, the hotel name and reservation information, directions to the class from the hotel, restaurants in the area, flight numbers, departure/arrival times, local transportation options, and names of other technicians attending and finalized version one week before the class.
6. Will negotiate with local hotels to ensure affordable rates and will create or maintain a spreadsheet of all pertinent information regarding recommended hotels, local transportation options, dining options, and directions to be shared with class attendees.
7. Maintains accurate and up-to-date records on training costs, certification expirations, and stores copies of licenses and certifications per established procedure.
8. Upon class completion, follow up with the training provider and/or attendees to obtain course evaluation forms, certificates, and update training master accordingly.
9. Other duties as assigned.
Technical Training Class Scheduler Qualifications:
- Bachelor’s degree desireable but not required.
- 3 Years’ experience in training class enrollment, scheduling, or similar role.
- Excellent administrative, written and verbal communication skills.
- Highly organized with exceptional attention to detail.
- High proficiency in excel and Outlook.
- Punctual, accountable, and professional.
