Summary
The Senior Administrative Assistant is responsible for providing administrative support while exercising independence in the ongoing operation of the department's administration.
Essential Duties And Responsibilities
The Senior Administrative Assistant should possess, at a minimum, a high school diploma or equivalent and at least five (5) years of experience in administrative support; or an associate degree and at least three (3) years of experience in administrative support; or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to successfully perform the duties and responsibilities of the position.

The Senior Administrative Assistant is responsible for providing administrative support while exercising independence in the ongoing operation of the department's administration.
Essential Duties And Responsibilities
- Schedule and plan all park/field rentals, pavilion rentals, special events & recreation programs in order to ensure that activities and events are made available for all community members
- Promote recreation programs in order to ensure that residents are aware of available opportunities and activities
- Coordinate an active community relations campaign to promote recreational and cultural programs
- Arrange for advertising/marketing of programs
- Maintain constant community liaison including contacts with local, regional and recreation organizations
- Schedules travel arrangements and conference and/or training event registration for Department employees.
- Assists with preparing the annual departmental budget.
- Composes letters, proposals, reports, notices, proclamations, and inter-office memorandums.
- Maintains department files.
- Maintains and processes personnel files and records; maintains office equipment.
- Assist with preparing purchase requisitions; maintains inventory of supplies; serves as liaison to the Purchasing Department for procurement.
- Assists Finance Department in budget projections based on allocated grant funding and with audit controls.
- Assists with developing and improving department policies and procedures.
- Resolves public complaints with service problems, initiates referrals or action, and follows up on same.
- Prepares a variety of complex reports and recommendations.

Necessary Special Requirements
- Must pass the ADVANCED level of the Macon-Bibb County skills test.
- Must be able to type 40 wpm.
- Possession of a valid Georgia Motor Vehicle Operator’s License.
- Knowledge of the principles and practices of local government administration.
- Knowledge of budgetary preparation procedures and administration.
- Knowledge and proficiency of personal computers and word processing and database programs, including the Microsoft Office Suite, the Windows NT network, and internet and e-mail services.
- Ability to write clear and concise reports, memoranda, directives and letters.
- Ability to develop comprehensive plans from general instructions.
- Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.
- Ability to meet the public and to discuss problems and complaints tactfully, courteously, and effectively.
- Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information.
- Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the general public.
